Bulk Tagging Items
Overview
Bulk tagging allows you to add tags to multiple Items at once using a CSV file, rather than editing each Item individually. This is especially useful when you're organising a large content library, migrating from another system, or applying consistent tagging across many Items.
By using the bulk item update feature, you can efficiently tag hundreds of Items in minutes.
Pre-requisites
To bulk tag Items, you'll need:
An Owner or Admin role
Access to Company Settings → Imports
A spreadsheet application (e.g., Excel, Google Sheets) to edit the CSV file
Tip: Before starting, decide on your tagging convention. Consistent capitalisation and naming makes tags more useful for filtering and recommendations.
Quick Start Guide
Step 1: Export the Bulk Item CSV
In the navigation bar, click Company Settings
In the sidebar, select Imports → Items update
Click Start items update
Click Export bulk item CSV
Once the file has loaded, click Download now
The CSV file contains all your Items with their current details, including any existing tags.
Step 2: Add Tags to Items in the CSV
Open the downloaded CSV file in your spreadsheet application
Find the Item(s) you want to tag
Locate the tags column
Add your tags to the relevant rows
Use commas to separate multiple tags (e.g.,
Leadership, Management, New Starters)Tags are not case-sensitive for searching, but will display as you enter them
Save the file (keep it in CSV format)
Tip: To add tags without removing existing ones, include the existing tags in your entry along with the new ones.
Step 3: Upload and Import
Return to Company Settings → Imports → Items update
Click Upload CSV and select your edited file
Click Start import
Review the import preview for any flagged issues
If errors appear, check the CSV file—an additional column will show error details
Make any corrections needed and re-upload if necessary
Click Done to complete the import
Your Items will now be updated with the new tags.
FAQs
Q: Will bulk tagging overwrite my existing tags?
Yes—the tags in your CSV will replace existing tags on each Item. To keep existing tags, include them in your CSV entry along with any new tags.
Q: Can I remove tags using bulk update?
Yes. To remove all tags from an Item, leave the tags column empty for that row. To remove specific tags, include only the tags you want to keep.
Q: What format should tags be in?
Use plain text, separated by commas. For example: Compliance, Health & Safety, Mandatory
Q: Is there a limit to how many tags I can add?
There's no hard limit, but we recommend keeping tags focused and relevant—typically 3-8 tags per Item works well.
Q: Can I bulk tag other content types like Learnlists or Channels?
This process is specifically for Items. For other content types, check if a similar bulk import feature is available in their respective settings.
Troubleshooting
