Library Content Update – CSV Export and Import (alpha)

This article explains how the Library Content Update (new importer) feature allows customer accounts to manage content pushed from a Library Account. It outlines how to export this content and import topic updates.


📤 Exporting Library Content

If your organisation has received items from a Library Account, you can export a list of those items directly from within your Customer Account.

To export:

  1. Navigate to Company Settings → Imports → Library Content Update in your Customer Account.

  2. Select Export to download the list of items.

The CSV export will include the following columns:

  • item_id (do not edit)

  • item title (do not edit)

  • library source (do not edit)

  • topic


🛠 Updating Library Items via Import

Once content has been pushed to your account from the Library, you can use the importer to assign or update topics.

Adding Topics

Requirements:

  • The item_id and item title in the import file must exactly match an existing item in your account.

What you can do:

  • Assign new topics to the item.

  • Add skill levels, where applicable.

The item title and library source fields are read-only and are not updated during import, even if values are changed in the CSV.

Topics Are Not Removed

When importing topics to items pushed from the Library Account, you can only add new topics. Existing topics on an item will not be removed—even if they are not listed in the import file.

Example:

  • An item currently has topics T1 and T2.

  • The import file includes only T1 and T3 for that item.

  • After the import, the item will have topics: T1, T2, and T3.

This means that T2 remains, and T3 is added. The importer does not support removing topics from an item.

If you need to remove a topic, this must be done manually within the platform.


ℹ️ Informational Fields Only

  • The item title and library source fields are for reference only.

  • These fields will not be changed through the import process.


❌ Error Handling

Invalid Item ID or Title

If the item_id or item title in the import file does not match an item that has been pushed into your account:

  • The CSV file will be rejected.

  • An error message will explain the mismatch.

Invalid Topics

If a topic listed in the CSV:

  • Does not exist in your organisation’s learning taxonomy, and

  • Is not a blank cell,

Then:

  • The CSV file will be rejected.

  • An error message will identify the invalid topic.

Blank Topic Cells

If the topic cell for an item is left blank:

  • No new topics will be added to that item.

  • Existing topics on the item will remain unchanged.

  • The row will be accepted, provided the item_id and item title match an existing item.


👤 CSV Uploads and User Deletion

If a user who uploaded a CSV is later deleted:

  • The item updates remain intact.

  • The upload remains visible in the CSV Upload Log for record-keeping.
