Managing Topics and Topic Categories

Overview

Topics and Topic Categories are the building blocks of your Learning Taxonomy. This guide covers how to create, edit, disable, and organise them to best serve your organisation's learning needs.


Functionality Breakdown

Topics

Topics are the specific subjects employees can explore (e.g., "Project Management", "Python", "Customer Service"). Each Topic:

  • Belongs to one Topic Category

  • Can be enabled or disabled

  • Appears as a tile when content is associated with it

  • Can be created, edited, or deleted by Admins

  • Can have a description to help learners understand the subject

  • Can be linked to Associated Topics for better content discovery

Topic Categories

Topic Categories group related Topics together (e.g., "Technology" might contain "Python", "Data Analysis", "Cybersecurity"). Each Category:

  • Contains multiple Topics

  • Can be customised with a tile colour (custom Categories only)

  • Can be featured or hidden from the Search page

  • Provides structure to your Learning Taxonomy

Associated Topics

Topics can be linked to related Topics to improve content recommendations. When you associate Topic A with Topic B:

  • The relationship is bidirectional (B is automatically linked to A)

  • "More Like This" recommendations consider these associations

  • Helps learners discover related content across your taxonomy

Quick Start Guide

Accessing Topic Management

  1. Click Settings in the sidebar

  2. Select Company Settings

  3. Navigate to Learning TaxonomyManage Topics

Creating a New Topic

  1. Click Add Topic

  2. Enter the Topic name

  3. Optionally add a description

  4. Select a Topic Category to assign it to

  5. Add any Associated Topics (optional)

  6. Click Save

💡 Tip: Choose Topic names that align with your skills framework or commonly searched terms.

Editing a Topic

  1. Find the Topic in the list

  2. Click the three dots menu (⋯)

  3. Select Edit

  4. Update the name, description, Category assignment, or Associated Topics

  5. Click Save

Disabling a Topic

  1. Find the Topic in the list

  2. Click the three dots menu (⋯)

  3. Select Disable

Disabled Topics won't appear as options when tagging content, and won't show on the Search page even if content is associated.

Re-enabling a Topic

  1. Filter the list to show disabled Topics

  2. Find the Topic

  3. Click the three dots menu (⋯)

  4. Select Enable

Deleting a Topic

  1. Find the Topic in the list

  2. Click the three dots menu (⋯)

  3. Select Delete

  4. Confirm the deletion

⚠️ Warning: Deleting a Topic removes it from all associated content. Consider disabling instead if you may need it later.

Managing Topic Categories

Creating a Category

  1. Click Add Category

  2. Enter the Category name

  3. Choose a tile colour (optional)

  4. Set whether to feature on Search page

  5. Click Save

Editing a Category

  1. Find the Category

  2. Click the three dots menu (⋯)

  3. Select Edit

  4. Update settings as needed

  5. Click Save

Featuring or Hiding a Category

  1. Edit the Category

  2. Toggle Feature on Search page

  3. Save changes

💡 Tip: Categories with no enabled Topics or no visible content will be hidden automatically, regardless of this setting.

💡 Tip: You can also display Topic Categories in the search bar dropdown using the Featured Topics in Search Bar beta feature. See Enable Topic Search for details.


FAQs

Q: What happens to content when I delete a Topic?
A: The Topic is removed from all associated content. The content itself remains, just without that Topic association.

Q: Can I merge two Topics?
A: Not directly. You'd need to re-tag content from one Topic to another, then delete the unwanted Topic.

Q: How do I reorganise Topics between Categories?
A: Edit the Topic and change its Category assignment.

Q: Can I rename a Topic Category?
A: Yes, edit the Category and update its name. The change applies immediately.

Q: Will disabling a Topic affect reporting?
A: Historical data remains intact. The Topic simply won't be available for new content tagging.

Q: What are Associated Topics used for?
A: Associated Topics help improve content recommendations. When a learner views content tagged with one Topic, they may see suggestions for content tagged with its Associated Topics.

Q: Can I bulk import Topics?
A: Yes! Use the Topics Import feature under SettingsCompany SettingsImportsTopics Import.

Can't create new Topic

Verify you have Owner or Admin role. Check you're in SettingsCompany SettingsLearning Taxonomy.

Topic not appearing after creation

Wait up to 10 minutes for indexing. Ensure the Topic has content associated with it.

Can't delete Topic

Check for any dependencies. Ensure you have Admin permissions.

Category colour not changing

Only custom Categories support colour changes. Default Categories use fixed colours.

Changes not saving

Refresh the page and try again. Check for any validation errors in the form.

Associated Topics not showing

Check that the related Topic exists and is enabled.
