Using Batch Actions from People Log

Select multiple users in the People Log and take action on them all at once. From assigning content to changing roles, batch actions save you time when you need to update many users simultaneously.

Overview

Batch actions let you:

  • Select multiple users – Choose specific users or select all on a page

  • Select across pages – Include users from all pages, not just the current view

  • Perform bulk operations – Apply the same action to all selected users

This is perfect for:

  • Assigning training to a filtered group of users

  • Adding labels for organisation or tracking

  • Sending notifications to specific audiences

  • Managing user roles or team memberships

Quick-Start Guide

Step 1: Filter Your Users

Before selecting users, apply filters to narrow down your list:

  1. Use content type and specific content filters

  2. Apply advanced filters as needed

  3. Verify the displayed users are who you want to action

Step 2: Select Users

Select individual users:

  • Click the checkbox next to each user you want to include

Select all on current page:

  • Click the checkbox in the header row to select all visible users

Select all across all pages:

  • After selecting all on the current page, you'll see an option to "Select all X users across all pages"

  • Click this to include users from every page of results

Step 3: Choose an Action

Click the Actions button (or batch actions menu) to see available options. Select the action you want to perform.

Step 4: Configure and Confirm

Each action has its own configuration:

  • Add to team – Select the target team

  • Add labels – Choose which labels to apply

  • Assign task – Select the task to assign

  • Send notification – Compose your message

Step 5: Execute

Click Confirm or the action button to proceed. You'll see a progress indicator for large batches.

Best Practices

Before Taking Action

  • Double-check your filters – Ensure you're actioning the right users

  • Review the count – Verify the number of selected users matches expectations

  • Consider the impact – Some actions (delete, role change) are significant

  • Test with small groups – For new workflows, try with a few users first

Selection Tips

  • Use specific filters to create targeted selections

  • Save filter configurations as reports for repeated use

  • When in doubt, select fewer users and repeat the action

Communication Actions

When sending notifications:

  • Write clear, concise messages

  • Include relevant context

  • Consider timing (avoid out-of-hours for non-urgent messages)

Use Cases

Compliance Follow-up

Nudge users who haven't completed mandatory training:

  1. Filter by specific compliance content

  2. Add filter: Has not completed

  3. Select all matching users

  4. Send notification reminding them to complete

New Starter Onboarding

Assign onboarding content to recent hires:

  1. Filter by hire date within last 7 days

  2. Select all users

  3. Use Add task to assign onboarding checklist

Team Reorganisation

Add users to a new team:

  1. Filter by relevant criteria (old team, department, etc.)

  2. Select appropriate users

  3. Use Add to team to assign to new team

Label-Based Organisation

Apply labels for tracking or segmentation:

  1. Filter by criteria defining the group

  2. Select users

  3. Add labels for easy future filtering

Frequently Asked Questions (FAQs)

Q: Can I undo a batch action?
A: Most actions cannot be automatically undone. For reversible actions (add labels, add to team), you can perform the opposite action. For destructive actions (delete), recovery may not be possible.

Q: Is there a limit to how many users I can select?
A: There's no hard limit, but very large batches may take longer to process. You'll see progress indicators for large operations.

Q: Why don't I see certain actions?
A: You only see actions you have permission to perform. Contact an Admin if you need additional permissions.

Q: Can I batch action users from different pages?
A: Yes. Use the "Select all across all pages" option to include users from every page of your filtered results.

Q: What happens if an action fails for some users?
A: You'll typically see a summary showing successes and failures. Review the failures and retry or address individually.
