Overview

Notify When Completed automatically alerts managers, coaches, or selected users when a learner finishes an Item. This feature is invaluable for compliance tracking, manager oversight, and keeping stakeholders informed when critical training is completed.

When enabled, notifications are sent via email and appear in the recipient's Learn Amp notification centre, ensuring the right people know when learning milestones are achieved.


Functionality Breakdown

How It Works

When a learner completes an Item with notifications enabled:

  1. Completion recorded: The learner marks the Item complete (or it's tracked automatically)

  2. Recipients identified: The system determines who should be notified based on your settings

  3. Notifications sent: Email and in-app notifications are delivered to each recipient

  4. Visibility: Recipients can see what was completed, who completed it, and when

Notification Recipients

You can notify any combination of these recipients:

Manager

The learner's direct manager (or primary manager if multiple managers are assigned):

  • Receives notification immediately upon completion

  • Useful for team leads tracking team progress

  • Helps managers stay informed without checking reports

Coach

The learner's assigned coach (if coaching is enabled for your organisation):

  • Supports coaching relationships with completion visibility

  • Helps coaches track coachee development

  • Requires coaching feature to be enabled

Manager's Manager

The learner's skip-level manager (manager's manager):

  • Useful for compliance training requiring senior oversight

  • Provides visibility to department heads

  • Ensures critical completions reach senior stakeholders

Selected Users

Specific individuals you choose to notify:

  • Select any active users from your organisation

  • Useful for compliance officers, HR, or project leads

  • Recipients don't need to be in the learner's reporting line

What Recipients Receive

Email notification includes:

  • Learner's name

  • Item title

  • Completion date and time

  • Link to view the Item

In-app notification includes:

  • Completion summary

  • Quick access to the learner's profile

  • Link to the completed Item


Pre-requisites

Feature Requirements

  • Completion notifications must be enabled for your organisation (contact your Learn Amp administrator)

  • Recipients must be active users on the platform

  • For coach notifications: Coaching feature must be enabled

Role Requirements

The following roles can configure Notify When Completed settings:

  • Owner: Full access to configure notifications on any Item

  • Admin: Can configure notifications on Items they have permission to edit

  • Learning Designer: Can configure notifications on Items they create or have edit access to

  • Curator: Can configure notifications on Items they create or have edit access to


Quick Start Guide

Setting Up Completion Notifications

  1. Navigate to Content in the sidebar

  2. Open the Item you want to configure

  3. Click Edit to enter editing mode

  4. Scroll to the Completion or Notifications section

  5. Enable Notify when completed

  6. Select your notification recipients:

    • Tick Manager to notify the learner's direct manager

    • Tick Coach to notify the learner's coach

    • Tick Manager's Manager for skip-level notification

    • Click Select users to add specific individuals

  7. Click Save to apply changes

Adding Specific Users

  1. In the notification settings, click Select users

  2. Search for users by name or email

  3. Click to add each user to the notification list

  4. Selected users appear in the list below the search

  5. Click the X next to a user to remove them

  6. Save the Item to confirm your selections

Removing Notifications

  1. Open the Item and click Edit

  2. Navigate to the notification settings

  3. Untick all recipient options, or

  4. Disable Notify when completed entirely

  5. Save your changes


FAQs

Can I notify different people for different Items?
Yes. Each Item has its own notification settings, so you can configure unique recipients based on the content type, compliance requirements, or team structure.

Do notifications work with all completion methods?
Yes. Notifications are triggered regardless of whether completion is manual, automatic, or controlled by an e-learning package.

What happens if a manager is not assigned to a learner?
If you've selected "Manager" but the learner has no manager assigned, that notification is simply skipped—no error occurs, and other configured notifications still send.

Can recipients opt out of completion notifications?
No. If you configure someone to receive completion notifications, they will receive them. Consider this when adding selected users.

Are notifications sent for bulk completions?
Yes. If you mark completions for multiple learners via admin tools, notifications are sent for each completion individually.

Do notifications include any learner details beyond name?
Notifications include the learner's name, the Item completed, and completion time. They don't include quiz scores, exercise results, or other detailed information.

Can I see a history of notifications sent?
Notifications appear in recipients' notification centres, but there's no centralised log of all completion notifications sent.

Manager not receiving notifications

Check the learner has a manager assigned in their profile. The manager must be an active user.

Coach notifications not appearing

Verify coaching is enabled for your organisation. Check the learner has a coach assigned.

Selected users not receiving notifications

Confirm users are still active on the platform. Deactivated users won't receive notifications.

Notifications enabled but nothing sent

Ensure the Item's completion settings allow completions. Check the learner actually completed the Item (not just viewed it).

Duplicate notifications received

This shouldn't happen—each completion triggers one notification. If it persists, contact support.

Notification emails going to spam

Ask recipients to add Learn Amp to their safe sender list, or check with your IT team about email filtering.


💡 Tip: For compliance-critical Items, consider enabling notifications to both the manager and a compliance officer (as a selected user) to ensure proper oversight and audit trails.

⚠️ Warning: Be mindful of notification volume. If you enable notifications on many Items, recipients may receive numerous emails. Consider using notifications selectively for high-priority content.
