Tags on Items
Overview
Tags are keywords or labels you attach to Items to help organise, categorise, and surface content. They make it easier for learners to find relevant materials through search and filtering, and they power personalised recommendations based on learner interests and skills.
Effective tagging improves content discoverability and creates connections between related learning materials across your library.
Functionality Breakdown
How Tags Work
Tags are simple text labels attached to Items:
Flexible: Create any tag you need—no predefined list required
Multiple tags: Add as many tags as relevant to each Item
Searchable: Learners can search and filter by tag
Recommendations: Tags influence "More Like This" suggestions
Reporting: Filter reports by tag to analyse content performance
Where Tags Are Used
Tags appear and function in several places:
Location | How Tags Are Used |
|---|---|
Content Library | Learners filter Items by tag |
Search Results | Tags improve search relevance |
More Like This | Similar tags connect related content |
Manage Items | Admins filter and organise content |
Reports | Filter activity data by tagged content |
Recommendations | Learner interests match to tagged content |
Tags vs Skills
Tags and Skills serve different purposes:
Tags | Skills |
|---|---|
Organise and categorise content | Track learner development |
Free-form text labels | Structured skill framework |
Aid discovery and filtering | Record competency progress |
No learner ratings | Learners rate their proficiency |
💡 Tip: Use Tags for content organisation and Skills for competency tracking. An Item can have both Tags and linked Skills.

Tagging Best Practices
Be Consistent
Create a tagging convention and stick to it:
Use consistent capitalisation (e.g., always "Leadership" not "leadership")
Agree on singular vs plural (e.g., "Skill" vs "Skills")
Document common tags for content creators
Be Specific
Specific tags are more useful than generic ones:
Less Useful | More Useful |
|---|---|
Training | Sales Training |
Skills | Communication Skills |
Policy | Data Protection Policy |
Management | First-Time Manager |
Use Multiple Tags
Apply all relevant tags to maximise discoverability:
Topic tags (e.g., "Customer Service", "Product Knowledge")
Audience tags (e.g., "New Starters", "Managers")
Format tags (e.g., "Video", "Quick Read")
Source tags (e.g., "External", "In-house")
Review and Clean Up Regularly
Periodically review your tags:
Merge similar tags (e.g., "Leadership" and "Leading Teams")
Remove unused tags
Update outdated terminology
Tags and Recommendations
Tags play a key role in content recommendations:

Bulk Tagging
You can add tags to multiple Items at once using the CSV export/import feature:
Navigate to Company Settings → Imports → Items update
Select Start items update and click Export bulk item CSV
Once the file downloads, open it and find the Items you want to tag
Add your tags under the "tags" column (use commas to separate multiple tags)
Save the file and re-upload it on the "Upload CSV" page
Click Start import and complete the import process
For detailed step-by-step instructions, see Bulk Tagging Items.
FAQs
Q: Is there a limit to how many tags I can add?
There's no hard limit, but we recommend keeping tags focused and relevant—typically 3-8 tags per Item works well.
Q: Can I add tags in bulk?
Yes, use the CSV export/import feature in Company Settings → Imports → Items update. See Bulk Tagging Items for detailed instructions.
Q: Do tags affect search ranking?
Yes, Items with tags matching the search query rank higher in results.

No, only users with content editing permissions can add or remove tags.
Q: Are tags case-sensitive?
Tags are not case-sensitive for searching and filtering, but they display as you entered them.
Q: What happens if I delete a tag?
Removing a tag from an Item doesn't affect other Items. The tag remains available if used elsewhere.
Troubleshooting
Issue | Solution |
|---|---|
Tag not appearing in suggestions | Type the exact tag name. Check spelling. The tag may not exist yet—create it by typing and pressing Enter. |
Can't find Items by tag | Verify the tag is actually applied to the Items. Check spelling in your filter. |
Duplicate tags appearing | Review and consolidate similar tags. Consider establishing naming conventions. |
Tags not improving recommendations | Ensure consistent tagging across your library. Recommendations improve with more tagged content. |
Bulk tagging via CSV not working | Ensure the CSV file is correctly formatted with tags in the "tags" column, separated by commas. Check for any error messages during import. |
Tag filter showing no results | The tag may have been removed from all Items. Check if Items still have that tag applied. |
