View learning progress for users in an Advanced Grouping. Advanced Groupings are dynamic user segments based on complex filter criteria – perfect for tracking progress across custom-defined populations that don't fit neatly into your team structure.


Overview

The Advanced Grouping People Log displays completion data for users who match your grouping's filter criteria. This is particularly useful when:

  • Tracking cross-functional initiatives – Users from multiple teams on the same project

  • Monitoring specific demographics – Users by location, hire date, or custom field values

  • Compliance by criteria – Users who need specific certifications based on their role

  • Dynamic populations – Groups that change as users join, leave, or change attributes


Pre-requisites

Role Requirements

To access the Advanced Grouping People Log, you need one of these roles:

  • Owner – Full access to all groupings

  • Admin – Full access to all groupings

  • HR – Full access to all groupings

  • Reporter – Can view groupings they have access to

Advanced Grouping Setup

You need at least one Advanced Grouping configured. See the Advanced Groupings documentation for setup instructions.


Quick-Start Guide

Step 1: Navigate to the Advanced Grouping People Log

  1. From the left-hand sidebar, click Reporting > People Log

  2. If you have access to Advanced Groupings, you'll see a grouping selector

Or access directly:

  1. Navigate to Manage > Advanced Groupings

  2. Click on a grouping

  3. Select View Activity or People Log

Step 2: Select an Advanced Grouping

Use the Advanced Grouping selector to choose which grouping to view:

  • Type to search by grouping name

  • Select from the dropdown list

  • The user list updates automatically

Step 3: Review Progress

The People Log shows all users currently in the selected grouping:

  • Standard columns: Name, Team, Manager, Assigned, Completed, Not Completed, Completion %

  • Filter by content type

  • Apply additional filters

  • Export to CSV

Step 4: Switch Between Groupings

Use the selector dropdown to quickly switch between different Advanced Groupings without navigating away.


Functionality Breakdown

Dynamic User Membership

Advanced Groupings are dynamic – users are included based on whether they match the grouping's filter criteria at any given time. This means:

  • New matches – Users who start matching the criteria are automatically included

  • No longer matching – Users who stop matching are automatically excluded

  • Real-time accuracy – The People Log always shows current membership

💡 Tip: If you need a point-in-time snapshot, export the data or save a report.

Grouping Refresh

Advanced Groupings periodically refresh their user membership. You may see:

  • Refreshing indicator – Shows when the grouping is updating its member list

  • Last refreshed – Timestamp showing when membership was last calculated

  • Manual refresh – Use the refresh button to trigger an immediate update

Combined with Filters

You can apply additional filters on top of the grouping:

  • Start with all users in the grouping

  • Add content type or specific content filters

  • Add behavioural or user property filters

  • The result is the intersection of all criteria

  • Advanced Grouping: "All UK Employees"

  • Content filter: "Compliance Channel"

  • Behavioural filter: "Has not completed"

  • Result: UK employees who haven't completed the compliance channel

Cross-Departmental Projects

Track training completion for a project team spanning multiple departments:

  1. Create an Advanced Grouping with project team members (using labels or custom fields)

  2. View the People Log for this grouping

  3. Filter by project-specific training content

  4. Monitor completion across the entire project team

Location-Based Compliance

Ensure employees in specific regions complete required training:

  1. Create an Advanced Grouping filtered by location(s)

  2. View the People Log

  3. Filter by compliance content

Q: Why doesn't the user count match what I expect?
A: Advanced Groupings are dynamic. Check when the grouping was last refreshed. Users may have joined or left based on changed attributes.

Q: Can I create an Advanced Grouping from the People Log?
A: Yes. When you've configured filters in the People Log, you can save them as a new Advanced Grouping using the Actions menu (if you have permission).

Q: What happens if I delete an Advanced Grouping?
A: The grouping is removed, but the underlying users remain in the system. Any content assigned to the grouping remains assigned to those users.

Q: Can I combine multiple Advanced Groupings?
A: Not directly in the People Log view. Consider creating a new grouping with combined criteria, or run separate reports.
