Best Practices
Before Exporting
Apply filters to get only the data you need – smaller exports are faster
Check your view shows the expected users before exporting
Consider the sensitivity of the data you're exporting
Data Handling
Store exported files securely – they contain personal data
Delete old exports when no longer needed
Follow your organisation's data protection policies
Large Exports
For exports with thousands of users:
Expect background processing – you'll be notified when ready
Consider breaking into smaller chunks using filters
Allow extra time during peak usage periods
Frequently Asked Questions (FAQs)
Q: How long does an export take?
A: Small exports (under 500 users) typically complete in seconds. Larger exports may take several minutes and process in the background.
Q: Can I schedule automatic exports?
A: Automatic CSV exports aren't currently available. For regular reporting needs, save your filter configuration as a report for quick re-running.
Q: Why are some columns blank?
A: Blank values indicate the data isn't available for that user (e.g., no manager assigned, no custom field value set).
Q: Can I export to Excel format directly?
A: Exports are in CSV format, which Excel opens natively. You can then save as an Excel file (.xlsx) if needed.
Q: What character encoding is used?
A: Exports use UTF-8 encoding, which supports international characters.
Troubleshooting
Issue | Solution |
|---|---|
Export button not responding | Check your browser isn't blocking downloads. Try refreshing the page |
File won't open correctly | Ensure you're using a recent version of your spreadsheet application. Try opening as plain text first to check the format |
Special characters display incorrectly | Your spreadsheet application may not be detecting UTF-8 encoding. Manually specify UTF-8 when importing |
Export seems incomplete | Large exports process in the background. Wait for the completion notification |
Missing expected columns | Some columns only appear when specific features are enabled for your organisation |
