Saving and Scheduling Reports
Save your People Log filter configurations as reports to access them quickly in the future. Share them with colleagues or schedule them to run automatically – it's all about making your reporting workflow smoother.

Saved Reports let you:
Store filter configurations – Save complex filters without rebuilding them each time
Share with others – Make reports visible to other administrators
Quick access – Load saved reports with a single click
Consistent tracking – Run the same report regularly for trend analysis
Schedule automatic delivery – Have a report emailed on a recurring cycle to the people who need it
Pre-requisites
Role Requirements
To save and manage reports, you need one of these roles:
Owner – Can create, view, and manage all reports
Admin – Can create, view, and manage all reports
HR – Can create, view, and manage all reports
Reporter – Can create and view reports
💡 Tip: Managers can view reports shared with them, but cannot create company-wide reports.
Quick-Start Guide
Saving a Report
Step 1: Configure Your Filters
Set up your People Log with the filters you want to save. Make sure you're happy with the results before saving.
Step 2: Open the Save Dialog
Click Actions in the toolbar, then select Save Report.
Step 3: Name Your Report
Give your report a clear, descriptive name. Good naming helps you (and others) find it later:
✅ "Sales Team - Q4 Compliance Status"
✅ "New Starters - First 30 Days Progress"
❌ "Report 1"
Step 4: Set Visibility
Choose who can see this report:
Only me – Private to your account
Everyone – Visible to all users with reporting access
Step 5: Configure Date Range (Optional)
Set how the report handles dates:
Rolling range – e.g., "Last 7 days" updates automatically
Fixed range – Specific dates that don't change
Custom – Set your own start and end dates
Step 6: Save
Click Save to store your report.
Loading a Saved Report
Step 1: Navigate to People Log
From the left-hand sidebar, click Reporting, then select People Log.
Step 2: Open the Reports List
Click the Reports dropdown in the filter panel.
Step 3: Select Your Report
Click on the report you want to load. Your filters will be applied automatically.
Scheduling a Report
Once a report is saved, you can have it emailed automatically on a recurring schedule.
Step 1: Open the schedule options
Go to Reporting → Saved Reports, find your report, click the three dots (⋮) on its row, and select Send report via email.
Step 2: Choose how it sends
In the Send report via email pop-up, under Send..., choose:
One-off (immediately) – sends the report once, straight away
On a cycle – sends the report on a repeating schedule
Step 3: Set the frequency (cycle only)
Under How regularly?, choose Daily, Weekly, Monthly or Every 3 months, then set the Next send date to control when the first send goes out.
Step 4: Choose the recipients
Under Mail to, select who receives the report:
All permitted users
Selected roles
Selected users
All except selected users
Use the search box to add specific individuals where needed.
💡 Note: Only Admins, Reporters and Managers (about their direct reports) can view the report, so recipients outside these roles won't be able to open it.
Step 5: Save
Click Save. The report will now be emailed on the schedule you've set.
⚠️ Important — what the scheduled email contains: Scheduled report emails link recipients to the report inside Learn Amp. They do not include a CSV attachment, and scheduled sends do not create an entry in Reporting → CSV Exports. To download a CSV file, open the report and use the Export CSV button – this generates the file on demand and adds it to Reporting → CSV Exports. There is currently no option to attach a CSV to a scheduled email automatically.

Rolling Ranges – These update automatically:

Fixed Ranges – These stay constant:

Custom – Specify exact start and end dates.
💡 Tip: Use rolling ranges for regular monitoring (e.g., "new starters this month"). Use fixed ranges for historical analysis (e.g., "Q3 2024 training completion").

Managing Saved Reports
Editing a Report
Load the report you want to edit
Make changes to filters or settings
Click Actions > Save Report
Choose to update the existing report or save as new
Deleting a Report
Navigate to Reporting > Saved Reports
Find the report you want to delete
Click the delete icon
Confirm deletion
⚠️ Warning: Deleted reports cannot be recovered. Make sure you no longer need the report before deleting.
Best Practices
Naming Conventions
Adopt a consistent naming pattern for easy discovery:
Include the scope (team, department, or company-wide)
Include the purpose (compliance, progress, onboarding)
Include the time frame if relevant
Examples:
"Engineering - Quarterly Skills Review"
"All Staff - Annual Compliance Check"
"Customer Success - New Starter Onboarding"
Report Organisation
Create separate reports for different purposes rather than one catch-all report
Use clear visibility settings – don't share work-in-progress reports
Review and clean up old reports periodically
Frequently Asked Questions (FAQs)
Q: Can I share a report with specific people rather than everyone?
A: Report visibility is either private (only you) or shared (everyone with reporting access). For scheduled delivery to specific people, use Send report via email and choose Selected users under Mail to.
Q: What happens to my saved reports if my role changes?
A: Your private reports remain accessible to you. Shared reports remain visible to others with appropriate permissions.
Q: Can I duplicate a report?
A: Yes. Load the report, make any changes you need, then save with a new name.
Q: How many reports can I save?
A: There's no limit to the number of saved reports.
Q: Can I have the scheduled report emailed as a CSV attachment?
A: Not currently. Scheduled emails link recipients to the report in Learn Amp rather than attaching a CSV. To get a CSV file, open the report and use Export CSV. If automated CSV delivery would be useful for you, please submit it as a feature request through our customer portal so our product team can consider it.
