Setting Up Stand-in Managers
Overview
Stand-in Managers temporarily assume a manager's responsibilities when they're absent—whether on holiday, sick leave, or any other break. This ensures team members continue to receive support and management activities aren't disrupted.
How Stand-in Managers Work
When a Stand-in Manager is activated:
They receive identical permissions to the manager they're replacing
They have full access to the original manager's direct reports
1-to-1s and surveys are automatically transferred to them
The original manager loses their manager rights temporarily
Rights are restored automatically when the original manager returns
Important: Stand-in Managers have complete access to sensitive team information. Assign this role carefully and only to trusted individuals.
Setting Up a Stand-in Manager
You need to complete two steps to properly configure a stand-in:
Step 1: Configure the Manager's Profile
Navigate to People → Individuals
Search for and select the manager who will be absent
Click the ellipsis menu (⋯) → Edit details
Scroll to the Manager section
In the Stand-in Manager field, select who will cover
Save changes
Step 2: Configure the Team
Navigate to People → Teams
Select the team managed by the absent manager
Click Edit
In the Stand-in Manager field, select the same person
Save changes
Best Practice: Always assign the same person as stand-in for both the manager's profile and their team to avoid confusion.
Activating the Stand-in
Once configured, activate the stand-in when the manager goes on break:
Navigate to People → Individuals
Select the absent manager
Click Edit details
Change Management Status from "Active" to "Taking a break"
Save changes
The stand-in manager immediately receives all manager permissions.
Returning from Break
When the original manager returns:
Navigate to People → Individuals
Select the returning manager
Click Edit details
Change Management Status from "Taking a break" to "Active"
Save changes
The stand-in's temporary permissions are removed, and the original manager's permissions are restored.
What Transfers to the Stand-in

FAQs
Q: Can I have multiple stand-in managers?
Each manager can have one designated stand-in. However, you can set different stand-ins for different managers in your organisation.
Q: What if the stand-in is also absent?
You would need to update the stand-in assignment to a different person, or the team would be without active management until someone returns.
Q: Do stand-ins appear in the org chart?
While acting as stand-in, they maintain their own position in the org chart. A note may appear indicating they're "Standing in for [Manager Name]".
Q: Can a stand-in change team membership?
Stand-ins have manager permissions, not HR or Admin permissions. They cannot add/remove team members unless their core role allows it.
