Archiving and Unarchiving Exercises
Overview
Archiving allows you to remove Exercises from active use without permanently deleting them. This is useful when an exercise is no longer needed but you want to retain historical data for reporting purposes.
Archived exercises can be restored (unarchived) at any time if needed again.
Functionality Breakdown
When you archive an Exercise:
The exercise is removed from the main Exercises list
It appears in the Archived view instead
All existing user submissions and scores are preserved
The exercise is unlinked from its associated item (item_id is set to nil)
Associated tasks are deactivated
The exercise cannot be used for new submissions until unarchived
When you unarchive an Exercise:
The exercise returns to the main Exercises list
You can link it to an item again if needed
Historical submissions and scores remain intact
Associated tasks can be reactivated
Important: Archiving an exercise will disconnect it from its associated item. You'll need to re-link the exercise to an item after unarchiving if you want to use it again.
Pre-requisites
To archive or unarchive an Exercise, you must have one of the following roles:
Super Admin – Full system access
Owner – Full access within their company
Admin – Administrative access within their company
Note: Learning Designers and Curators can create and edit exercises but cannot archive or unarchive them.
Quick Start Guide
Archiving an Exercise
Navigate to Manage → Learning Content → Exercises in the sidebar navigation
Find the exercise you want to archive
Click the three dots (⋯) next to the exercise name
Select Archive exercise/item
Confirm the action when prompted
The exercise will be moved to the Archived view.
Viewing Archived Exercises
Navigate to Manage → Learning Content → Exercises in the sidebar navigation
Use the filter or view options to show Archived exercises
You'll see all previously archived exercises
Unarchiving an Exercise
Navigate to Manage → Learning Content → Exercises in the sidebar navigation
Navigate to the Archived view
Find the exercise you want to restore
Click the three dots (⋯) next to the exercise name
Select Unarchive
The exercise will return to the main Exercises list.
Tip: After unarchiving, remember to link the exercise to an item if you want to use it again, as archiving unlinks it from its item.
FAQs
Q: What happens to existing submissions when I archive an exercise?
A: All existing user submissions and scores are preserved. Archiving only affects whether the exercise can be used for new submissions.
Q: Can I still view reports for archived exercises?
A: Yes. You can access historical reports and scores for archived exercises from the Archived view.
Q: What happens to the item linked to the exercise when I archive it?
A: The exercise will be unlinked from the item. The item itself remains unchanged, but it will no longer have an exercise attached.
Q: Can I permanently delete an exercise instead of archiving?
A: Yes, but deletion is permanent and removes all associated data. Archiving is recommended if you may need the exercise or its data in the future.
Q: Why can't I see the archive option?
A: Only Super Admins, Owners, and Admins can archive exercises. If you have a different role, contact your administrator.
Q: What happens to tasks associated with archived exercises?
A: Associated tasks are deactivated when an exercise is archived. They can be reactivated when the exercise is unarchived.
