Overview

Exercise Sign-Off Options determine who can review and approve learner submissions. These settings control which users have the authority to score exercises, mark them as passed or failed, and provide feedback to learners.

Configuring sign-off options ensures that exercises are reviewed by the appropriate people—whether that's managers, coaches, subject matter experts, or designated reviewers.


Functionality Breakdown

Exercises support multiple sign-off options that can be enabled individually or in combination:

  • Manager Sign-Off – Allows managers to sign off submissions from their direct reports

  • Coach Sign-Off – Allows coaches to sign off submissions from users they coach

  • Selected Person Sign-Off – Allows specific individuals to sign off any submission

  • Reporter Sign-Off – Allows users with Reporter role to sign off submissions

  • Learning Designer Sign-Off – Allows Learning Designers to sign off submissions

  • HR User Sign-Off – Allows HR users (with assessment override) to sign off submissions

Important: Sign-off options only apply to exercises that require assessment (Scored, Pass/Fail, or Scoring Assessment). Exercises set to "No Assessment" cannot have sign-off options enabled.


Pre-requisites

To configure sign-off options, you must:

  • Have permission to create or edit exercises

  • Understand your organisation's review workflow

Required User Roles

Users with the following roles can configure sign-off options:

  • Owner – Full access within their company

  • Admin – Administrative access within their company

  • Learning Designer – Can create and manage learning content

  • Curator – Can curate and manage content

Note: Sign-off options determine who can score exercises, but scoring permissions also depend on individual user roles and team assignments.


Quick Start Guide

Configuring Sign-Off Options

  1. Navigate to Manage → Learning Content → Exercises in the sidebar navigation

  2. Create a new exercise or edit an existing one

  3. In the Assessment step, ensure the exercise is set to Scored, Pass/Fail, or Scoring Assessment (not "No Assessment")

  4. Scroll to the Sign-Off section

  5. Enable the sign-off options you need:

    • Tick Person's manager to allow manager sign-off

    • Tick Person's coach to allow coach sign-off

    • Tick Selected individual and choose specific users

    • Tick Reporters to allow Reporter role sign-off

    • Tick Learning Designers to allow Learning Designer sign-off

    • Tick HR users to allow HR user sign-off (requires assessment override)

  6. If using manager sign-off, optionally tick Exclude secondary managers to restrict sign-off to primary managers only

  7. Save your exercise

Tip: You can enable multiple sign-off options simultaneously. The first person to review the submission can sign it off.


Sign-Off Option Details

Manager Sign-Off

Who can sign off: Primary managers of the submitter's team

How it works:

  • Managers can sign off submissions from users they directly manage

  • Includes users in teams where the manager is the primary manager

  • Secondary managers can also sign off unless excluded

Exclude Secondary Managers Option:

  • When enabled, excludes secondary managers from signing off

  • Only primary managers of the submitter's primary team can sign off

  • Secondary managers of primary teams are excluded

  • Both primary and secondary managers of secondary teams are excluded

  • Managers of parent teams can still sign off (useful if direct manager is unavailable)

Coach Sign-Off

Who can sign off: Users assigned as coaches to the submitter

How it works:

  • Coaches can sign off submissions from users they are assigned to coach

  • Coaching relationships are configured in user profiles

  • Only applies if a coaching relationship exists

Selected Person Sign-Off

Who can sign off: Specifically chosen individuals

How it works:

  • You select specific users who can sign off any submission for this exercise

  • Useful for subject matter experts or designated reviewers

  • Selected users don't need to be managers or have special roles

Reporter Sign-Off

Who can sign off: Users with the Reporter role

How it works:

  • Any user with Reporter role can sign off submissions

  • Useful for organisations where Reporters handle exercise reviews

  • No additional permissions required

Learning Designer Sign-Off

Who can sign off: Users with the Learning Designer role

How it works:

  • Any user with Learning Designer role can sign off submissions

  • Useful for content creators who want to review their exercises

  • No additional permissions required

HR User Sign-Off

Who can sign off: HR users with assessment override enabled

How it works:

  • HR users can sign off if they have assessment override permission

  • Assessment override must be enabled in their user settings

  • Useful for HR teams managing compliance or assessment exercises


Sign-Off Visibility Rules

Users can only see and sign off exercises they have permission for:

  • Managers see exercises where manager sign-off is enabled and they manage the submitter

  • Coaches see exercises where coach sign-off is enabled and they coach the submitter

  • Selected users see exercises where they are selected for sign-off

  • Reporters/Learning Designers/HR see exercises where their respective sign-off option is enabled

Note: Owners, Admins, and Super Admins can always sign off any exercise, regardless of sign-off settings.


FAQs

Q: Can I enable multiple sign-off options at once?

A: Yes. You can enable any combination of sign-off options. The first person to review can sign off the submission.

Q: What happens if no sign-off options are enabled?

A: Only Owners, Admins, and Super Admins can sign off submissions. Regular users won't see the exercise in their scoring queue.

Q: Can a manager sign off for someone not in their team?

A: No. Manager sign-off only applies to direct reports or users in teams where the manager is assigned.

Q: What's the difference between excluding secondary managers and not enabling manager sign-off?

A: Excluding secondary managers still allows primary managers to sign off. Not enabling manager sign-off means no managers can sign off (unless they're Owners/Admins).

Q: Can I change sign-off options after submissions are made?

A: Yes, but existing submissions will use the sign-off rules that were in place when they were submitted.

Q: Do sign-off options apply to exercises with "No Assessment"?

A: No. Sign-off options are automatically disabled for exercises set to "No Assessment".
