Question Sets allow you to embed Surveys directly into 1-to-1 meetings, creating a structured space for both reviewees and reviewers to share feedback. Whether you're running performance reviews, regular check-ins, or development conversations, Question Sets make it easy to collect consistent, meaningful input from everyone involved.

This article explains how Question Sets work, who can complete them, and how to set them up within your 1-to-1 templates.

What is a Question Set?

A Question Set is a special type of Survey designed specifically for 1-to-1 meetings. Unlike regular Surveys that are issued independently, Question Sets are embedded directly into 1-to-1 templates and completed as part of the meeting workflow.

Key differences from regular Surveys:

  • Embedded directly in 1-to-1 meeting templates

  • Can be completed by the reviewee, reviewer, or both

  • Responses can be marked as private (visible only to Admins)

  • Support notes and comments on individual answers

  • Automatically linked to the specific 1-to-1 occurrence

Who Fills Out the Survey?

Private Question Sets

You can mark a Question Set as private to restrict who can see the responses:

  • Responses are only visible to Admins and Owners

  • The reviewee and reviewer cannot see each other's answers

  • Useful for sensitive feedback, confidential performance data, or HR-related assessments


Pre-requisites

Before using Question Sets in 1-to-1s, ensure:

  • 1-to-1s are enabled for your company

  • You have permission to create or edit 1-to-1 templates

  • You understand which participant(s) should complete the Survey

Required User Roles

To create and manage Question Sets in 1-to-1 templates, you must have one of the following roles:

  • Owner – Full access within their company

  • Admin – Administrative access within their company

  • Learning Designer – Can create and manage learning content

  • HR – Can manage 1-to-1 templates if permissions allow


Quick Start Guide

Creating a Question Set for 1-to-1s

  1. Navigate to Manage → Performance → 1-to-1 Templates in the sidebar navigation

  2. Open an existing 1-to-1 Template or create a new one

  3. In the template editor, locate the Question Sets section

  4. Click Add Question Set (or the + button)

  5. Choose to create new questions or select an existing Question Set

  6. Configure who should complete the Survey:

    • Reviewee – Only the person being reviewed

    • Reviewer – Only the manager or assessor

    • Both – Both participants complete it

  7. Optionally tick Private to restrict visibility to Admins only

  8. Arrange the display order if you have multiple Question Sets

  9. Save your changes


FAQs

Q: Can I use the same Question Set in multiple 1-to-1 templates?
A: Yes. Once created, a Question Set can be linked to multiple 1-to-1 templates without recreating it.

Q: What happens when I mark a Question Set as private?
A: Only Owners and Admins can see the responses. The manager (reviewer) and the employee (reviewee) won't be able to see each other's answers.

Q: Do Question Sets support all survey question types?
A: Yes. You can use Free-text, Radio Button, Drop-down, Multiple Choice, Opinion Scale, and Poll questions.

Q: Are Question Set responses included in Survey reports?
A: Question Sets are reported separately within the 1-to-1 reporting area, not in the main Survey reports section.
