Widget Filters and Data Scoping
Overview
Many widgets in Learn Amp support powerful filtering options that control which users' data is displayed. Whether you want to show company-wide metrics, focus on specific teams, or highlight individual performance, widget filters give you precise control over what appears on each Dashboard.
Understanding these filters helps you create targeted Dashboards that show relevant data to each audience—from company-wide overviews for executives to team-specific views for managers.
Functionality Breakdown
User Scope Filters
Most widgets that show user-related data support three scope options:
Filter | Description | Use Case |
|---|---|---|
All users | Shows data for everyone (or all direct reports on Manager Dashboards) | Company-wide metrics, overall engagement |
Selected users | Shows data only for specified individuals, teams, or groups | Team-specific Dashboards, focused reporting |
Excluded users | Shows data for everyone except specified individuals, teams, or groups | Excluding certain groups from metrics |
Entity Types
When using Selected or Excluded filters, you choose what type of entity to filter by:
Entity Type | Description | Available When |
|---|---|---|
Individual | Specific users selected by name | Always |
Team | All members of selected teams | Always |
Grouping | Custom advanced groupings | When Advanced Groupings are enabled |
Team Filtering Options
When filtering by team, you have additional options:
Option | Description |
|---|---|
Include sub-teams | When enabled, includes users from all child teams beneath the selected teams |
Direct team only | When disabled, only includes users directly in the selected teams |
💡 Tip: For large organisations with complex team hierarchies, "Include sub-teams" can significantly change the data shown. Test with both settings to find the right scope.
Content Filters
Some widgets also support content-specific filters:
Activity Type Filters
Widgets tracking user activity (like Most Completed Content) can filter by activity type:
Activity | Description |
|---|---|
Completed | Content fully finished |
Started | Content begun but not completed |
Clicked | Content opened/viewed |
Viewed | Content displayed to user |
Content Type Filters
Filter which types of content appear in the widget:
Content Type | Description |
|---|---|
Items | Individual learning content |
Learnlists | Collections of content |
Events | Training sessions and events |
Characteristic Filters
Some widgets can filter by content characteristics:
Filter | Description |
|---|---|
Tags | Show content with specific tags |
Item types | Filter by content format (video, article, etc.) |
Suppliers | Filter by content provider |
Time Range Filters
Most data widgets support time-based filtering:
Range | Shows Data From |
|---|---|
All time | Complete history |
Last 7 days | Past week |
Last 14 days | Past two weeks |
Last 30 days | Past month |
Last 60 days | Past two months |
Last 90 days | Past quarter |
For forward-looking widgets (like Upcoming Tasks), similar ranges look ahead.

Name them clearly (e.g., "Company Completions" and "Marketing Team Completions")

Look for the Filter by or Characteristics options
Select the characteristic type (tags, item types, or suppliers)
Enter or select the specific values to filter by
Save your changes
Manager Dashboard Filters
Manager Dashboards have special filtering behaviour:
Behaviour | Description |
|---|---|
Default scope | Automatically limited to the manager's direct reports |
All users | Shows all direct reports, not company-wide |
Team filter | Only shows teams the manager has visibility to |
Include sub-teams | Expands to show manageable users across team hierarchy |
💡 Tip: On Manager Dashboards, "All users" still respects the manager's scope—they won't see data for users they don't manage.
FAQs
Q: Why can't I see the Grouping option in entity types?
Advanced Groupings must be enabled for your organisation. Contact your administrator to enable this feature.
Q: Does "Include sub-teams" affect performance?
For very large team hierarchies, including sub-teams may slightly increase widget loading time as more user data is aggregated.
Q: Can I filter by multiple teams at once?
Yes. When selecting teams, you can choose multiple teams and all their members will be included in the widget data.
Q: What happens if I select a team with no members?
The widget will show no data or display an appropriate empty state message.
Q: Can learners configure widget filters?
No. Widget filter configuration is only available to those who can edit Dashboards. Learners see the pre-configured filters set by administrators.
Q: Do time range filters use the user's timezone?
Time ranges are calculated based on the company's configured timezone.

Filter not saving | Ensure you click Save after making filter changes |
Team not appearing in filter options | Check you have visibility to that team in your role |
