Progress Tracking for Learnlists and Channels

When you're assigned a Learnlist or Channel as a task, you'll see detailed progress information to help you track how far through you are.

How Progress is Calculated

For Learnlists and Channels, progress is shown as a percentage based on:

  • Required items completed – How many required items you've finished

  • Total required items – The total number of items you need to complete

Optional items within a Learnlist don't count towards your progress percentage.

Items count

Shows items completed out of total (e.g., "6 of 8 items")

When Progress Updates

Your progress updates automatically when you:

  • Complete an item within the Learnlist

  • Watch a video to completion

  • Pass a quiz (if the Learnlist contains scored content)

  • Submit an exercise

💡 Tip: If your progress seems stuck, make sure you've fully completed each item. Some items require you to watch a video to the end or click "Mark as Complete".

Learnlists with Scored Content

If your Learnlist contains quizzes or scored exercises:

  • Pass score enabled – You must achieve the required score for that item to count as complete

  • Average score tracking – Some Learnlists calculate your average score across all scored items

  • Overall pass requirement – The Learnlist may require an overall average score to mark as complete

Pre-requisites

Understanding Task Types

Different content types appear as tasks with slightly different behaviours:

Items (Articles, Videos, Documents)

  • Complete by viewing/reading the content

  • Some items may require you to click "Mark as Complete"

  • Video items typically require watching to the end

Learnlists

  • Shows progress as a percentage

  • Complete by finishing all required items within the Learnlist

  • Progress updates as you complete individual items

  • Optional items don't count towards completion

  • If the Learnlist has a pass score, you must achieve it to complete

Quizzes

  • Complete by passing the quiz (if a pass score is set)

  • Or by submitting the quiz (if no pass score is required)

  • Multiple attempts may be allowed—task completes when you pass

Channels

  • Channels assigned as tasks don't appear in the standard My Tasks list

  • Instead, they appear in the Assigned Channels widget on your Dashboard

  • Progress shows as a percentage based on items completed

Events

  • Complete by attending the event

  • Your manager or an admin may need to mark attendance

Task Deadlines

How Deadlines Work

Each task has a "Complete by" date set by your manager or admin. You'll receive notifications as the deadline approaches:

  • 7 days before – Reminder email

  • 1 day before – Reminder email

  • 1 day after – Overdue notification

  • Daily – Continued reminders until complete (if enabled)

What Happens When a Task is Overdue

When a task passes its deadline:

  • The task shows with an overdue warning indicator

  • You may receive daily reminder emails

  • Your manager may be notified (if escalation policies are configured)

  • The task remains in your list until completed or removed by an admin

💡 Tip: Complete overdue tasks as soon as possible. Even though the deadline has passed, completing the content is still valuable and removes the task from your overdue list.

Recurring Tasks

Some tasks are set to repeat on a schedule. When you complete a recurring task:

  1. The current instance is marked as complete

  2. A new task is scheduled for the next cycle

  3. You'll receive a notification when the new task is due

This is common for compliance training that needs to be refreshed annually or quarterly.

FAQs

Q: Why can't I see a task my manager mentioned?
Check with your manager to confirm the task has been assigned. If you're in a Group that refreshes daily, the task may not appear until the next refresh. Also ensure you've accepted your platform invitation.

Q: I completed the content but the task still shows as incomplete. What should I do?
Make sure you fully completed the content (e.g., watched the entire video or submitted the quiz). For some content types, you may need to click "Mark as Complete". If the issue persists, contact your admin.

Q: Can I remove a task I don't think applies to me?
No—only admins and managers can remove tasks. If you believe a task was assigned in error, speak with your manager or L&D team.

Q: Why is my Channel task not showing in My Tasks?
Channel tasks appear in the "Assigned Channels" widget on your Dashboard, not in the My Tasks list. Ask your admin to add the Assigned Channels widget if it's not visible.

Q: Will I get a certificate when I complete a task?
Certificates are awarded based on the content you complete, not the task itself. If the content has certificate-on-completion enabled, you'll receive one when you finish.

Q: How do I know which tasks are most urgent?
Look for tasks with the closest deadlines or those already marked as overdue. Mandatory tasks are also flagged with a special indicator.

Q: Can I complete a task early?
Yes! You can complete tasks at any time before the deadline. Early completion is encouraged and helps you stay ahead of your learning goals.

Q: What's the difference between a task and the content itself?
The content (Item, Quiz, Learnlist) is what you're learning. The task is simply the assignment wrapper that tracks your deadline and completion status.

Q: Why is my Learnlist progress not at 100% even though I finished everything?
Check if the Learnlist has a pass score requirement. You may need to achieve a minimum average score across quizzes to complete it. Also verify all required items are complete—optional items don't affect the completion percentage.

Q: Can I see my progress on a Learnlist before completing it?
Yes. Click on the Learnlist task to open it, and you'll see your progress percentage and which items you've completed.

Q: Can I turn off task reminder emails?
Yes. Go to Settings > Notifications > Emails and toggle off "Task reminder". Note that your organisation may override this for mandatory content.

Q: Why did I receive a task notification even though I turned them off?
Your organisation may have configured certain mandatory or compliance tasks to always send notifications, regardless of your personal preferences.

Troubleshooting

Issue

Solution

Issue

Solution

Task not appearing in my list

Check you've accepted your platform invitation and are in the correct Team/Group. Tasks may take up to 24 hours to appear for new group members.

Completed content but task shows incomplete

Ensure you fully completed all requirements (e.g., quiz submitted, video watched to end). For scored content, check if you met the pass requirements. Try refreshing the page.

Can't find the My Tasks section

Click My Learning in the sidebar, then select My Tasks.

Channel task missing

Channel tasks appear in the Assigned Channels Dashboard widget, not My Tasks.

Receiving too many reminders

Adjust your notification preferences in Settings > Notifications > Emails. You can also speak with your admin about reducing reminder frequency.

Task shows as overdue but deadline hasn't passed

Check your timezone settings match your organisation's. The deadline is based on the platform's configured timezone.

Progress not updating on Learnlist

Make sure you've fully completed each item within the Learnlist. Some items require watching videos to the end or clicking "Mark as Complete".

Can't achieve pass score on Learnlist

Check which quizzes you haven't passed and retake them. The Learnlist may require an overall average score to complete.
