Managing Role Categories

Overview

Role Categories help organise your roles into logical groupings, making it easier for learners to browse and discover relevant career paths. Categories might represent departments (Engineering, Marketing, Sales), job families (Technical, Management, Creative), or any structure that makes sense for your organisation.

Well-organised categories improve the learner experience by providing intuitive navigation and helping people find roles relevant to their interests and career goals.


Functionality Breakdown

Categories provide:

  • Grouping – Cluster related roles together

  • Navigation – Learners can filter roles by category

  • Featured Display – Mark categories as "Featured" to highlight them in the roles directory

  • Flexible Structure – Create as many or few categories as needed

Featured Categories

When a category is marked as "Featured", its roles become visible to learners in the Roles directory. Non-featured categories and their roles won't appear in learner-facing views but remain accessible to admins.

💡 Tip: Use featured categories to control which roles are visible to learners. This is useful when building out your taxonomy—keep categories non-featured until they're ready for launch.


Pre-requisites

To manage Role Categories, you must have one of the following user roles:

  • Owner – Full access within their company

  • Admin – Administrative access within their company

  • HR – Can manage roles and categories


Quick Start Guide

Creating a Category

  1. Navigate to Company Settings → Learning Taxonomy → Manage Roles

  2. Click the Categories tab

  3. Click Add Category

  4. Enter the Category Name (e.g. "Engineering")

  5. Toggle Featured on if you want roles in this category visible to learners

  6. Click Save

Assigning Roles to a Category

When creating a new role:

  1. In the role creation form, select an existing category from the dropdown

  2. Or type a new category name to create it on the fly

For existing roles:

  1. Go to Manage Roles

  2. Click on the role you want to update

  3. Change the Category dropdown

  4. Click Save

Managing Featured Status

  1. Go to Manage Roles → Categories

  2. Find the category you want to update

  3. Click to edit the category

  4. Toggle the Featured switch on or off

  5. Click Save

⚠️ Warning: Turning off "Featured" will hide all roles in that category from learners. They'll still exist and can be re-featured later.

Deleting a Category

  1. Go to Manage Roles → Categories

  2. Find the category to delete

  3. Click the three dots (⋯) and select Delete

  4. Confirm the deletion

💡 Tip: Deleting a category doesn't delete its roles—they become uncategorised. Reassign roles to other categories before deleting if possible.


FAQs

Q: How many categories should I create?
Aim for 5-15 categories that represent meaningful groupings. Too many categories become hard to navigate; too few don't provide useful organisation.

Q: Can a role belong to multiple categories?
No. Each role belongs to one category. If a role fits multiple categories, choose the most relevant one or consider restructuring your categories.

Q: What happens to roles when I delete their category?
Roles become uncategorised. They'll still exist in the system but won't appear in category-filtered views until reassigned.

Q: Can learners see non-featured categories?
No. Only roles in featured categories appear in the learner Roles directory. Non-featured categories are admin-only.

Q: Do categories affect career pathways?
No. Career pathways (Advancing From relationships) work across categories. A role in "Engineering" can advance from a role in "Technical Training".

Q: Can I rename a category?
Yes. Edit the category and change its name. This automatically updates all roles assigned to it.
