Structuring a Learnlist

Overview

When creating a Learnlist, you can choose how learners progress through the content. The structure you select affects whether learners can jump between items freely or must complete them in a specific order.

This article explains the two structure types and helps you choose the right one for your learning content.

Pre-requisites

  • You must have edit permissions for the Learnlist

  • Structure can be set during creation (if not using beta) or changed later via the Edit option

Role Requirements

  • Owner – Full access within their company

  • Admin – Administrative access within their company

  • Learning Designer – Can create and manage learning content

  • Curator – Can curate and manage content


Structure Types Explained

Unlocked (Default)

What it does:

  • Items are displayed in a recommended sequence

  • A sidebar appears showing the suggested order and progress

  • Learners can still skip to any item they choose

Best for:

  • Learning paths with a logical flow

  • Courses where sequence helps understanding but isn't mandatory

  • Onboarding programmes where flexibility is acceptable

  • Resource collections (e.g. "Top 10 Marketing Books")

Learner experience:
Learners see a clear path through the content but retain the freedom to explore in their own way. The sidebar shows all items and their completion status.


Locked

What it does:

  • Items must be completed in strict order

  • A sidebar shows progress and locks upcoming items

  • Learners cannot access the next item until the previous one is complete

Best for:

  • Compliance training requiring sequential completion

  • Skills training where knowledge builds progressively

  • Certification programmes with prerequisites

  • Any content where later items depend on understanding earlier ones

Learner experience:
Learners work through content step by step. The sidebar shows their progress and indicates which items are locked with a lock icon.


Quick Start Guide

Setting Structure During Creation

  1. When creating a Learnlist, navigate to Tags & Structure

  2. Find the Lock item order option:

    • Leave unchecked for Ordered (default) – learners can complete items in any order

    • Check the box for Locked – items must be completed in sequence

  3. Continue with the remaining creation steps

Changing Structure on an Existing Learnlist

  1. Open the Learnlist

  2. Click the three dots menu and select Edit

  3. Navigate to Tags & Structure

  4. Toggle the Lock item order checkbox:

    • Unchecked = Ordered

    • Checked = Locked

  5. Save your changes

Quick Start Guide (Beta)

  1. Create your Learnlist

  2. Go to Editor View

  3. Find the Lock Item Order toggle in the side panel

    1. Leave disabled for Unlocked (default) – learners can complete items in any order

    2. Enable for Locked – items must be completed in sequence

 


FAQs

Q: Can I change the structure after learners have started?
Yes, but be cautious. Switching from Locked to Ordered mid-way may confuse learners about expectations. Switching to Locked may block learners who skipped items—they would need to go back and complete earlier items.

Q: Does structure affect completion percentage?
No. Structure only affects the order in which items can be accessed, not how completion is calculated.

Q: Can different users have different structures for the same Learnlist?
No. Structure is set at the Learnlist level and applies to all learners.

Q: What happens if I have existing Learnlists set to a different structure?
Previously created Learnlists will retain their existing structure settings. You can edit them at any time to change to Unlocked or Locked.

Q: Does locking a Learnlist block access to all items in the Learnlist?
No. Locking a Learnlist only locks the item completion order within the context of the Learnlist. A user could still access individual items directly outside of the context of the Learnlist.
