Approving Content from Partner Libraries
Overview
When you have partner content libraries enabled, new Items are added to a pending queue for review before they become available to learners. This approval workflow ensures you maintain control over what content appears on your platform.
This article explains how to review, approve, and reject content from partner libraries.
Functionality Breakdown
The content approval process works as follows:
Partner libraries sync new or updated content to your platform
This content enters the Pending Items queue
Administrators review each Item and decide to approve or reject
Approved Items become available based on visibility settings
Rejected Items are excluded from your platform
This workflow applies to all partner libraries including Microlearn, Skillshub, and others.
Pre-requisites
To approve or reject pending content, you must have one of the following roles:
Owner – Full access within their company
Admin – Administrative access within their company
Learning Designer – Can create and manage learning content
Curator – Can curate and manage content
Tip: Establish a regular review schedule to keep your content library current with new partner additions.
Quick Start Guide
Accessing Pending Items
Go to Content in the top navigation bar
Select Manage Items from the dropdown
Click Actions
Select Pending Items
You'll see all Items awaiting approval.
Approving or Rejecting Individual Items
From the Pending Items view, locate the Item you want to review
Click Approve to add the Item to your platform, or
Click Reject to exclude the Item
Using Batch Actions
To approve or reject multiple Items at once:
Select Items using the checkboxes on the left side of each row
Click Batch Actions at the top of the list
Choose Approve Selected or Reject Selected
Confirm your action
Tip: Use batch actions when processing large numbers of Items to save time.
Filtering Pending Items
Use filters to narrow down your pending Items:
Library – Filter by content provider
Content Type – Filter by Item type (video, article, course, etc.)
Topic – Filter by subject area
This helps you focus on specific content areas during review.
FAQs
Q: What happens to rejected Items?
Rejected Items are excluded from your platform and won't appear to learners. They remain in the partner's library and can be approved later if you change your mind.
Q: Can I undo an approval or rejection?
Yes. Navigate to the Item in your library and change its status. Approved Items can be hidden or archived, and rejected Items can be found and approved through the partner library view.
Q: How often does new content arrive?
This varies by partner. Some libraries update weekly, others monthly. Check with your Customer Success Manager for specific sync schedules.
Q: Do I need to approve every single Item?
You control your approach. Some organisations review each Item individually, while others approve entire batches based on provider trust. Choose what works for your content governance needs.
Q: Can multiple people review pending content?
Yes. Anyone with the appropriate role can access and action the pending queue.
