Understanding the Invitation Process (Learner View)

When a user is invited to Learn Amp, they receive an email guiding them through the activation process. This article explains what the invitation experience looks like from the learner's perspective—useful for admins who want to support new users or explain what to expect.

The Invitation Journey
Step 1: Receiving the Invitation Email
The user receives an email invitation that appears to come from your organisation (not Learn Amp directly). The email includes:
A welcome message
An Accept invitation button
Information about what the platform is for
💡 Tip for admins: Let new users know to expect an email from your company name, not "Learn Amp"—this helps them recognise the invite.
Step 2: Accepting the Invitation
When the user clicks Accept invitation, they're taken to a page where they:
Confirm their name and details
Set a secure password
Agree to any terms (if configured)
Step 3: Accessing the Platform
After clicking Save, the user is logged in and ready to use the platform. Their status changes from "Invite Pending" to "Confirmed".
What Users Can Do After Joining
Once confirmed, users can:
Update their profile details at any time
Change their password
Set their preferred language
These options are available by clicking their avatar in the top navigation bar.
Common Questions from New Users
"I didn't receive an invite email"
Ask them to check their spam/junk folder. If it's not there, verify the email address is correct and resend the invite.
"The link isn't working"
The link may have expired. Resend the invite to generate a fresh link.
"I forgot my password before I finished setting up"
They can use the "Forgot password" link on the login page, or an admin can set a password for them.

Q: How long does the activation link remain valid?
Links expire after a set period for security. If a user's link has expired, simply resend the invite.
Q: Can users change their email address after joining?
Yes, users can update their email from their profile settings. An admin may need to verify the change depending on your company settings.
