Creating an Exercise

Overview

This article explains how to create a new Exercise in Learn Amp. Exercises act as assessment-style activities that help reinforce learning, encourage reflection, and support practical application. You can attach them to both online content and offline actions.

This guide walks you through each step of the Exercise creator.


Functionality Breakdown

Creating an Exercise involves:

  • Adding a title and description

  • Associating the Exercise with content or an action

  • Setting submission requirements (file uploads, notes, self-recording)

  • Choosing assessment options (no assessment, pass/fail, simple scoring, or scoring rubric)

  • Configuring sign-off options (who can review submissions)

  • Defining completion rules, attempts, and notifications

  • Setting pass scores (if using scoring rubrics)

  • Customising labels for submission fields

  • Choosing whether to show scores to learners


Pre-requisites

Before creating an exercise, ensure:

  • You have an item (content or action) to associate it with

  • You have permission to create exercises via the Add New or Assess sections

  • Any scoring rubrics you wish to use already exist

Required User Roles

Creating Exercises

Users with the following roles can create exercises:

  • Owner — Full access within their company

  • Admin — Administrative access within their company

  • Learning Designer — Can create and manage learning content

  • Curator — Can curate and manage content

Editing Exercises

To edit an existing exercise, users must:

  • Hold one of the roles listed above and be in the same company as the exercise, or

  • Be explicitly granted access as an editor via the item's Who can edit? field

Viewing Exercises

Users who can view exercises in lists and reports include:

  • Any of the roles permitted to create exercises

  • Reporter — May view but not create

  • HR with assessment override enabled

Deleting or Archiving Exercises

Only these roles can delete or archive exercises:

  • Super Admin

  • Owner

  • Admin


Quick Start Guide

Step 1: Start a New Exercise

  1. Select the + icon in the top navigation bar

  2. Under Assessment

  3. Select Exercise

Alternatively, navigate to Manage → Learning Content → Exercises in the sidebar navigation and click New Exercise.

Step 2: Exercise Overview

  1. Add a clear title

  2. Use the Description field to summarise the Exercise and outline what the learner needs to do

  3. Select Next

Step 3: Associate the Exercise

  1. Choose whether the Exercise relates to content (online) or an action (offline)

  2. Select the specific item from the dropdown

  3. Select Next

Note: Each exercise links to a single item. If you need the same exercise for multiple items, you can duplicate it later.

Step 4: Submission Details

Choose what your users must submit. Options include:

  • File upload — Allow learners to attach files (documents, images, etc.)

  • Written submission — Require learners to write notes or responses

  • Audio upload — Allow learners to upload audio recordings

  • Self-recording — Allow learners to record video, audio, or screen recordings directly

For each option, you can set whether it is required, optional, or not allowed.

Custom Labels

You can customise the labels for submission fields:

  • Note Custom Label — Change the label for the written submission/note field (e.g., "Reflection", "Response", "Comments")

  • File Upload Label — Change the label for the file upload field (e.g., "Upload your work", "Attach evidence")

Tip: Custom labels help make exercises feel more tailored to your specific use case.

Self-Recording Options

When self-recording is enabled, you can choose which types of recordings are allowed:

  • Video — Allow video recordings

  • Audio — Allow audio-only recordings

  • Screen Recording — Allow screen recordings (useful for software demonstrations or presentations)

Note: At least one recording type must be enabled if self-recording is required or optional.

Select Next to continue.

Step 5: Assessment Setup

Select how the Exercise should be assessed:

  • No assessment — learners complete the Exercise without scoring. No sign-off options available.

  • Pass/Fail — an assessor manually approves or fails the submission

  • Simple Scoring — learners receive a numerical score within a defined range (score_from to score_to)

  • Scoring Assessment — uses a Scoring Rubric for structured grading. You can select an existing rubric or create a new one

Note: If you select "Scoring Assessment", you'll need to choose or create a scoring rubric. The rubric must be created before you can link it to the exercise.

Pass Scores

If using a Scoring Rubric, you can set a Pass Score:

  • Define the minimum score required to pass

  • The pass score is shown as both an absolute value and a percentage of the maximum possible score

  • This works with the "Pass Score" completion type to ensure learners meet competency requirements

Show Scoring to Learners

When using a Scoring Assessment, you can choose to Make score visible to the learner:

  • When enabled, learners can see their scores and rubric results after their submission has been scored

  • Learners see their total score, points breakdown, and which quality levels they achieved for each topic area

  • This helps learners understand how they performed and what they can improve

Tip: Showing scores to learners promotes transparency and helps them understand assessment criteria. Consider enabling this for formative assessments where feedback supports learning.

Note: This option only appears when using Scoring Assessment. Scores are only visible after the submission has been scored by a reviewer.

Select Next.

Step 6: Sign-Off Options

If your exercise requires assessment (not "No Assessment"), configure who can sign off submissions:

  • Person's manager — Allow managers to sign off submissions from their direct reports

  • Exclude secondary managers — When enabled, only primary managers can sign off (secondary managers are excluded)

  • Person's coach — Allow coaches to sign off submissions from users they coach

  • Selected individual — Choose specific users who can sign off any submission

  • Reporters — Allow users with Reporter role to sign off

  • Learning Designers — Allow Learning Designers to sign off

  • HR users — Allow HR users (with assessment override) to sign off

Tip: You can enable multiple sign-off options. The first person to review can sign off the submission.

Select Next.

Step 7: Completion Settings

Configure how the Exercise is completed:

  • Learner submission — the item completes automatically when the learner submits

  • Submission scored — completion occurs once the submission has been scored

  • Manual sign-off — completion only occurs once the assessor signs off

  • Manual — learners can manually mark the exercise as complete themselves (useful for self-reflection exercises)

  • Pass Score — completion only occurs when the learner's score meets or exceeds the pass threshold (requires a pass score to be set)

Note: The "Manual" completion type allows learners to mark exercises as complete themselves, which is particularly useful for exercises set to "No Assessment" or self-reflection activities.

Attempt Limits

Set the number of attempts allowed:

  • Unlimited — learners can submit as many times as needed

  • Limited — set a specific number (e.g., 1, 2, 3)

Note: With unlimited attempts, submissions won't show as "Failed" even if they score below the pass mark, as the learner can always retry.

Notifications

Configure notifications and choose who is notified:

  • Notify when exercise is submitted — Notify selected recipients when a learner submits

  • Notify when exercise is completed — Notify when an exercise is marked as completed (passed)

  • Notify when exercise is failed — Notify when an exercise submission fails (scores below pass threshold)

You can choose to notify:

  • Managers

  • Coaches

  • Selected individuals

  • Manager's manager

Tip: Separate notifications for completed vs failed help ensure appropriate follow-up for learners who need additional support.

Select Next.

Step 8: Finish

Review your setup and select Submit.

You're all done!


FAQs

Q: Can I change the assessment method later?
A: Yes, you can edit assessment details at any time. However, changing from "No Assessment" to an assessed type will enable sign-off options, and vice versa.

Q: Can I attach an Exercise to more than one item?
A: No. Each Exercise links to a single item, but you can duplicate an Exercise if needed. See the Duplicating an Exercise article for details.

Q: Do users need to complete all submission types?
A: Only if you mark them as required. You can set file uploads, notes, and self-recording as required, optional, or not allowed independently.

Q: Can I use custom labels for submission fields?
A: Yes. You can customise the labels for notes and file uploads in Step 4 to make exercises more contextually relevant.

Q: What's the difference between "Notify Completed" and "Notify Failed"?
A: "Notify Completed" sends notifications when a submission passes or is marked complete. "Notify Failed" sends notifications specifically when a submission fails (scores below pass threshold). This helps ensure appropriate follow-up.

Q: Can I set a pass score without using a Scoring Rubric?
A: Pass scores are primarily designed for use with Scoring Rubrics. For Simple Scoring, you can set score ranges, but pass scores work best with rubrics.

Q: What happens if I enable unlimited attempts?
A: With unlimited attempts, learners can retry as many times as needed. Submissions won't show as "Failed" even if they score below the pass mark, as the system considers them in progress.

Q: When should I show scores to learners?
A: Showing scores is beneficial for formative assessments where feedback supports learning. It helps learners understand how they performed and what they can improve. Consider your learning objectives and whether transparency will enhance the learning experience.

Q: What's the difference between "Manual sign-off" and "Manual" completion?
A: "Manual sign-off" requires an assessor to sign off before completion. "Manual" allows learners to mark the exercise as complete themselves, useful for self-reflection exercises or when no assessment is required.

I can't find the content/action in the dropdown

Ensure the item exists and you have permission to view it. Check you're in the correct company context.

The assessor isn't receiving notifications

Check notification settings in Step 7. Verify the user is not "Not yet invited" and has valid email settings.

I can't select a scoring rubric

Make sure the rubric was created beforehand and is not archived. Navigate to Assess → Scoring Rubrics to create or verify rubrics.

Exercise not appearing after creation

Refresh the page or navigate to Manage → Learning Content → Exercises in the sidebar navigation to confirm status.

Sign-off options greyed out

Ensure the exercise is not set to "No Assessment". Sign-off options only work with assessed exercises.

Can't enable self-recording

Ensure at least one recording type (video, audio, or screen recording) is enabled.

Pass score not working

Verify you've selected "Scoring Assessment" and linked a scoring rubric. Ensure "Pass Score" is selected as the completion type.

Learners can't see their scores

Check that "Make score visible to the learner" is enabled in Step 5. This option only appears for Scoring Assessment exercises.
