Understanding Date and Time Localisation
Overview
Learn Amp automatically localises all dates and times based on each user's timezone setting. This ensures that users across the globe see time-sensitive information correctly, regardless of where they're located.
Pre-requisites
To benefit from date and time localisation, users should have their timezone configured correctly in their profile settings.
Role Requirements
Action | Required Role |
|---|---|
Set personal timezone | Any user |
Set company default timezone | Owner, Admin |
Set location-specific timezone | Owner, Admin |
How Localisation Works
All times in Learn Amp are stored in UTC (Coordinated Universal Time) in the database. When displaying times to users, the system converts them to each user's configured timezone.
Example: If someone in London creates an Event for 4:00pm, this is stored as 16:00 UTC. When a user in New York views the same Event, they see it as 11:00am (their local time).
What Gets Localised
Events
Event start and end times display in each viewer's timezone
Calendar views show Events at the correct local time
Event reminders are sent based on the Event time in your timezone
Tasks and Deadlines
Task due dates and times appear in your timezone
1-to-1 and Objective deadlines are converted to your local time
Reminder notifications arrive at the appropriate time for your timezone
Reports and Audit Logs
Timestamps in reports reflect your timezone
Audit log entries show times in your timezone
Join dates and completion dates are localised
Scheduled Communications
Recurring tasks (e.g., annual reminders) are triggered at 9:10am UTC
Scheduled tasks (one-time, future-dated) are sent at 7:00am UTC
💡 Tip: While task delivery follows UTC timing, the deadlines and due dates shown to users are always converted to their local timezone.
Quick Start Guide
Setting Your Timezone
To ensure dates and times display correctly:
Open the sidebar and select Settings
Select Profile & Preferences
Navigate to Languages & Locations
Select your timezone from the dropdown
Click Save
Your timezone is also visible on your profile to other users.
Timezone Priority
The system determines your timezone using this priority order:
Personal preference – The timezone set in your profile (highest priority)
Location default – If you're assigned to a location with a timezone configured
Company default – The organisation-wide timezone setting
System default – UTC if nothing else is configured
Once you set a personal timezone, it always takes priority over location and company defaults.
Email Notifications and Timezone
When Learn Amp sends email notifications, the timezone is determined by:
The recipient's primary timezone (if set)
The recipient's location default timezone
The company default timezone
UTC (if nothing else is configured)
This ensures that email reminders and notifications reference times that make sense for each recipient.
FAQs
Q: Why do I see different times to my colleague for the same Event?
This is expected behaviour. Events display in each user's local timezone, so a 2pm Event in London shows as 9am for someone in New York.
Q: What timezone are reports generated in?
Reports display timestamps in your personal timezone. If you download a report, the times reflect your timezone at the moment of download.
Q: Can I see what timezone another user is in?
Yes. Visit their profile page and their timezone will be displayed.
Troubleshooting
Issue | Solution |
|---|---|
Times showing incorrectly | Check your timezone setting in Profile & Preferences > Languages & Locations |
Event reminder arrived at wrong time | Verify your timezone is set correctly; reminders are sent based on your local time |
Report timestamps don't match my timezone | Clear your browser cache and regenerate the report |
Can't find my timezone | Search by your nearest major city name rather than GMT offset |
