Overview

The Task Log is the central hub for tracking, managing, and reporting on tasks across your organisation. It provides visibility into learning assignments, deadlines, and completion status—helping Admins, Managers, and learners stay on top of required training.

Whether you're assigning mandatory compliance training, tracking team progress, or managing your own to-do list, the Task Log brings everything together in one place.

Task Status Types

Tasks can have the following statuses:

Understanding Task Lifecycle

Task Expiry

When a recurring task issues a new instance, the previous instance is marked as expired. Expired tasks behave differently from other task statuses:

  • Not visible by default – Expired tasks don't appear in the standard Task Log view

  • Viewable with filters – Use the Advanced filter and set "Expired" to "Yes" to see expired tasks

  • Completion data preserved – Even though the task is expired, completion data remains in the Activity Log

  • Cannot be reactivated – Once expired, a task cannot be restored to active status

When Tasks Expire

Tasks expire in the following scenarios:

  • A recurring task creates a new instance, expiring the previous one

  • A task reaches its configured expiry date

  • Content is archived (tasks cannot be reinstated when content is unarchived)

💡 Tip: If you need historical task data for expired tasks, use the Activity Log which retains all completion records regardless of task status.

Task Deactivation

When a user is deactivated, their assigned tasks are automatically marked as deactivated:

  • Not visible by default – Deactivated tasks don't appear in the standard Task Log view

  • Recorded in audit trail – The deactivation is logged with the reason in the Task Audit Trail

  • Reactivatable – If the user is reactivated, their deactivated tasks can be restored

  • Excluded from reports – Deactivated tasks are excluded from summary counts

⚠️ Note: The Task Log panel excludes deactivated users, but CSV exports include them. This can cause a discrepancy between displayed numbers and export totals.


Scheduled Reports

You can set up automated reports to receive task data by email on a regular schedule. This is useful for compliance monitoring, team progress tracking, and management reporting.

Creating a Scheduled Report

  1. Click Reporting in the sidebar

  2. Select Reports

  3. Click Create Report

  4. Select one of the task report types

  5. Configure the report settings:

    • Name – Give your report a descriptive name

    • Date range – Rolling or fixed date range

    • Recipients – Who should receive the report

    • Frequency – Daily, weekly, monthly, or quarterly

  6. Click Save

Who Can Receive Reports

Reports can be sent to:

  • All permitted users – Everyone with access to view the report data

  • Selected roles – Specific user roles (Admins, Managers, etc.)

  • Selected users – Individual users you choose

  • All except – Everyone except specified users

💡 Tip: Set up weekly overdue task reports for managers to help them stay on top of their team's compliance.


Customising Columns

You can personalise which columns appear in your Task Log view to focus on the data that matters most to you.

Optional Columns

These can be added to your view:

  • Email – User's email address

  • Login name – User's login identifier

  • Location – User's location

  • Primary team – User's primary team

  • Other teams – Additional teams the user belongs to

  • Manager name – User's manager

  • Coach – User's assigned coach

  • Labels – Content labels/tags

  • User status – Active, deactivated, etc.

  • Task ID – Unique task identifier

  • Parent task ID – ID of the parent task (for spawned tasks)

  • Expired – Whether the task has expired

  • Parent team – The team the parent task was assigned to

  • Completed after deadline – Whether the user completed after the due date

How to Customise Columns

  1. Click Reporting in the sidebar

  2. Select Tasks

  3. Click the column settings icon (grid icon near the column headers)

  4. Select or deselect the columns you want to display

  5. Drag columns to reorder them

  6. Click Apply to save your changes

💡 Tip: Your column preferences are saved to your account and persist across sessions.


Saved Reports

Save your filter configurations to quickly access common views without re-entering criteria each time.

Creating a Saved Report

  1. Set up your filters (date range, status, segment, etc.)

  2. Click Save Report

  3. Enter a descriptive name for your report

  4. Choose visibility:

    • Me only – Only you can see this saved report

    • Everyone – All users with Task Log access can see it

  5. Click Save

Using a Saved Report

  1. Click Reporting in the sidebar

  2. Select Tasks

  3. Click the Saved Reports dropdown

  4. Select your saved report

  5. The Task Log updates with your saved filters applied

Managing Saved Reports

To edit or delete a saved report:

  1. Open the saved report

  2. Click the three-dot menu next to the report name

  3. Select Edit to modify the name or visibility

  4. Select Delete to remove the report

💡 Tip: Create saved reports for common scenarios like "Overdue Compliance Tasks", "This Week's Deadlines", or "New Starter Tasks".


Filtering by Tags

You can filter tasks by content tags to focus on specific categories of learning.

How to Filter by Tags

  1. Click Reporting in the sidebar

  2. Select Tasks

  3. Click Filters

  4. Select Tags

  5. Enter your tag name (e.g., "Compliance", "Onboarding")

  6. Click Apply Filters

This allows you to see only tasks related to content with those specific tags.


Task Completion with Scored Content

When tasks are assigned for scored content like Quizzes, the task completion behaviour depends on the content's pass requirements.

Quiz Tasks

For tasks assigned to quizzes:

  • With pass score enabled – Task is only completed when the user passes the quiz (achieves the required score)

  • Without pass score – Task is completed when the user finishes the quiz, regardless of score

  • Multiple attempts – If retakes are allowed, the task remains incomplete until the user passes

Exercise Tasks

For tasks assigned to exercises (submissions):

  • With pass score – Task is completed when the submission is scored at or above the pass threshold

  • Manual sign-off – Task is completed when a grader manually approves the submission

💡 Tip: Check the Quiz or Exercise settings to understand what's required for task completion. Users who fail may need to retake the content to complete their task.

Quick Start Guide

Accessing the Task Log

  1. Click Reporting in the sidebar

  2. Select Tasks

Alternatively, learners can access their own tasks:

  1. Click My Learning in the sidebar

  2. Select My Tasks

Once there, use the tabs to switch between My Tasks, Manage Tasks, and Parent Tasks views (depending on your permissions).

Viewing Expired Tasks

  1. Click Reporting in the sidebar

  2. Select Tasks

  3. Click Filters or Advanced Filters

  4. Set Expired to Yes

  5. Adjust the deadline date range to All time if needed


FAQs

Q: What's the difference between My Tasks and Manage Tasks?
My Tasks shows only tasks assigned to you. Manage Tasks shows tasks across your organisation (or your managed users), allowing you to oversee and take action on others' assignments.

Q: Can I see tasks for users I manage?
Yes. If you're a team manager, override manager, or coach, you'll see tasks for your managed or coached users in the Manage Tasks tab.

Q: What are Parent Tasks?
Parent Tasks are task rules—the configurations that generate individual tasks. For example, a company-wide compliance task creates individual tasks for each user. The Parent Tasks view lets you manage these rules.

Q: Can I export task data?
Yes. Use the Export CSV button in the Manage Tasks view to download task data based on your current filters.

Q: Why can't I see certain tabs?
Tab visibility depends on your role and permissions. My Tasks is available to everyone. Manage Tasks and Parent Tasks require elevated permissions.

Q: Do filters persist when I leave the page?
No, filters reset when you navigate away. Use Save Report to preserve your filter configuration for future use.

Q: What is the difference between the 'Incomplete' and 'Overdue' buttons within the Task Log?
The incomplete filter includes all incomplete tasks, both overdue and not overdue. The overdue filter shows only tasks that have passed their deadline.

Q: Is it possible to filter Tasks in the Task Log by tags?
Yes. While viewing the Task Log, click on Filters, select Tags, input your chosen tags (e.g. Tags equals Coaching), and select Apply Filters. This allows you to have a more focused view of tag-related tasks.

Q: Why is my Task not showing in the Task Log?
There are several possible reasons:

  • The task wasn't assigned to the user or they're not in the assigned Team/Group

  • The user has already completed the content (and "require completion again" wasn't selected)

  • Your date range or filters are excluding the task

  • You're using "show scheduled" on a child task (this only works on parent tasks)

  • The task has expired (expired tasks don't show in the Task Log—use the Activity Log instead)

  • You're using conflicting filters (AND instead of OR)

  • The task was deleted (you can use the Activity Log to report on completion, or contact Support to restore within 3 months)

  • The user was deactivated (their tasks are marked as deactivated)

Q: Why does completion show differently in the Task Log and the Activity/People Logs?
If Learnlists or Channels are set to "dynamic", adding new content removes the completion record for the content itself—but the task layer remains marked as completed. Additionally, for Team/Group/Company tasks set to new joiners dynamically, you'll need to filter deadlines back to when the task was first assigned to see all tasks in the CSV export.

Q: Why is the Task Log CSV showing a different number of rows than the Task Log panel?
The Task Log panel excludes deactivated users, but the CSV export includes them. This can cause a discrepancy between the numbers displayed on the panel versus the CSV download.

Q: Where can I see previous issues of a recurring task? In the Task Log, filter by the task title and set the deadline filter to "All time". Previous instances will be labelled as "Expired" in the Status column. Use the Advanced filter to set "Expired" to "Yes" to show only expired tasks, or "No" to exclude them.
