Overview

The People area of Company Settings lets you control how user profiles are managed, what managers can do, and how each user's current role (occupation) is kept up to date. Getting these settings right ensures your people see the right content and permissions, and that roles align with your HR or competency framework.


Functionality Breakdown

Manager permissions

You can configure what managers (who don't have Admin roles) are allowed to do—for example, set tasks for direct reports, view reports, mark content as complete, or create dashboards. These permissions are additive: if a user has a permission via their role, they keep it when granted via manager permissions too.

User profile permissions

You can allow users to edit their own key details (such as name, email, and job title) and their expertise.

Updating users' current role

Learn Amp can keep each user's current role (occupation) in sync automatically. This matters for permissions, reporting, and aligning people to the right learning. You choose one of the following:

  • Job title – The user's current role is derived from their job title. When their job title changes, their role updates to match.

  • Custom field – The user's current role is derived from a custom field you select (e.g. "Department", "Role", or a dedicated HRIS field). When that custom field's value changes for a user, their role updates to match.

You can only use one source at a time: either job title or one custom field. When "Custom field" is chosen, you must select which custom field to use.

💡 Tip: If your organisation stores role or job family in a custom field (or syncs it from an integration), using a custom field often gives more accurate and consistent results than job title.

Bulk deactivation

You can deactivate multiple users at once via CSV upload, with control over how tasks, assessments, 1-to-1s, and user records are handled.

  • For the Custom field option: the feature that allows role sync from a custom field must be enabled (if you don't see "Custom field" as an option, contact your Learn Amp representative)

Quick Start Guide

Accessing People settings

  1. Click Settings in the sidebar

  2. Select Company Settings

  3. Open the People section

Enabling role sync from job title

  1. In Company SettingsPeople, find the setting that controls how users' current role is updated

  2. Turn the setting on

  3. Choose Job title as the source

  4. Save your changes

Users' current roles will then stay in sync with their job title.

Enabling role sync from a custom field

  1. In Company SettingsPeople, find the setting that controls how users' current role is updated

  2. Turn the setting on

  3. Choose Custom field as the source

  4. Select the custom field that holds the role (or job family) value from the dropdown

  5. Save your changes

⚠️ Warning: You must select a custom field when "Custom field" is chosen; otherwise the setting cannot be saved.

When users' values for that custom field are updated (manually or via import), their current role will update to match. Existing users may be backfilled when you first enable this.

Bulk deactivation

  1. In Company SettingsPeople, go to Bulk deactivate

  2. Upload a CSV of users to deactivate (use the template for the correct format)

  3. Review the mapping and settings

  4. Confirm the deactivation


FAQs

Q: What is the difference between "Job title" and "Custom field" for role sync?
A: Job title uses the value in the user's Job title field. Custom field uses the value in whichever custom field you select (e.g. a "Role" or "Job family" field). Use the option that matches how your organisation defines roles.

Q: Can I use both job title and a custom field at the same time?
A: No. Only one source can be active. You must choose either job title or one custom field.

Q: I don't see "Custom field" as an option. Why?
A: The ability to sync role from a custom field is controlled by a feature setting. If you only see job title, contact your Learn Amp representative to discuss enabling the custom field option.

Q: What happens to existing users when I switch to custom field sync?
A: When you save the change, Learn Amp can backfill users' current roles from the selected custom field. After that, any change to that custom field for a user will update their role.

Q: Where do I define the list of roles (occupations)?
A: Role definitions—job positions and their associated skills—are managed under SettingsCompany SettingsLearning TaxonomyManaging Roles. The People setting only controls how each user's current role is kept in sync (from job title or from a custom field).

Can't see People or role sync setting

Ensure you have Owner or Admin role. For role sync, Onboarding Roles must be enabled.

"Please select a custom field" when saving

You chose "Custom field" but didn't select one. Pick a custom field from the dropdown and save again.

Users' roles not updating from custom field

Confirm the correct custom field is selected and that user values for that field are set. Allow a short time for sync after changes.

Custom field option not visible

The custom field role sync feature may not be enabled for your organisation. Contact Learn Amp support.
