Quiz Permissions by System Role

Overview

This article explains what permissions each system role has when accessing quizzes.

⚠️ Warning: From 2026-04-28, Learning Designer access to Quiz Question Banks is toggle-controlled and defaults to off. Learning Designers who previously had unconditional access to Quiz Question Banks will lose that access until an admin enables the "Create and manage quiz question banks" toggle for them. See the Quiz Question Bank section below, and Roles for how to enable the toggle.


Functionality Breakdown

Quiz permissions vary by system role and determine what actions users can perform, from creating quizzes to viewing reports and managing submissions.


Pre-requisites

Before understanding quiz permissions, ensure you know:

  • Your current system role

  • What actions you need to perform

  • Whether your organisation has specific permission overrides enabled

Role Requirements

Permissions are role-based. See the sections below for details on each role's capabilities.


Creating a Quiz

To create a quiz, users must have one of the following system role permissions:

  • Owner – Full access within their company

  • Admin – Administrative access within their company

  • Learning Designer – Can create and manage learning content

  • Curator – Can curate and manage content

  • Coach – Any user who has been designated as a coach (regardless of their system role) can create quizzes for their coached users

All of these users have access to add new quizzes via the + icon in the Add New menu. For more detail on how to create a quiz, view our article Creating a Quiz.


Viewing a Quiz

Accessing the Quiz List Page (Admin Only)

The quiz list page is only accessible to users with administrative permissions:

  • Owner – Can access all quizzes in their company

  • Admin – Can access all quizzes in their company

  • Learning Designer – Can access all quizzes in their company

  • Curator – Can access all quizzes in their company

  • HR – Can only access quizzes they've been assigned unless the toggle for "View all assessments (quizzes, exercises, scoring rubrics and surveys)" has been toggled on when setting their system role, then they can access all quizzes

  • Users with edit permissions – Users who have been granted edit permissions on a specific quiz can access quizzes

To access the quiz list page, navigate to Manage → Learning Content → Quizzes in the sidebar.


Viewing Individual Quizzes

For non-admin users, quizzes are accessed through assignments rather than a quiz list page:

  • Any user – Can view any published quiz in their company that has been assigned to them (via My Learning → Tasks / Learning Overview)

  • Managers – Can view quizzes assigned to them, and can view quiz submissions of users they manage (via user profile pages)

  • Coaches – Can view quizzes assigned to them, and can view quiz submissions of users they coach (via user profile pages)

  • Users with edit permissions – Can view quizzes they've been granted edit permissions for, even if not published

Note: Learners, Reporters, HR (without assessment override), and other non-admin roles can only view quizzes that have been assigned to them. They do not have access to a full quiz list page.


Viewing Quiz Submissions

Viewing quiz submissions is limited to roles with more advanced permissions. The roles with permissions are:

  • Owner – Can view all quiz submissions in their company

  • Admin – Can view all quiz submissions in their company

  • Learning Designer – Can view all quiz submissions in their company

  • HR – Can only view their own quiz submissions unless the toggle for "View all assessments (quizzes, exercises, scoring rubrics and surveys)" has been toggled on when setting their system role, then they can view all quiz submissions in their company

  • Managers – Can view quiz submissions of users they manage (accessed via user profile pages)

  • Secondary Managers – Can view quiz submissions of users they manage as a secondary manager

  • User Managers – Can view quiz submissions of users they manage (where User Manager feature is enabled)

  • Coaches – Can view quiz submissions of users they coach (accessed via user profile pages)

  • Any user – Can view their own quiz submissions (accessed via their user profile page)

  • Users notified for a quiz – Can view quiz submissions for quizzes where they've been set to receive notifications

To view quiz submissions:

  • For your own submissions: Navigate to your user profile page → Assessments tab → Quizzes

  • For managed/coached users: Navigate to the user's profile page → Assessments tab → Quizzes, then click on the number under "Attempts submitted" for the quiz you'd like to view submissions for → "View answer breakdown"

  • For admin users: From the sidebar, navigate to Manage → Learning Content → Quizzes → click either "Team", "Group" or "Manage quizzes" → then click on the number under "Attempts submitted" along the quiz you'd like to view submissions for → "View answer breakdown"


Viewing Quiz Reports

Viewing quiz reports requires more advanced permissions due to user data being visible. The roles with permissions are:

  • Owner – Can view all quiz reports in their company

  • Admin – Can view all quiz reports in their company

  • Learning Designer – Can view all quiz reports in their company

  • HR – Cannot view any reports unless the toggle for "View all assessments (quizzes, exercises, scoring rubrics and surveys)" has been toggled on when setting their system role, then they can view all quiz reports in their company

  • Curator – Cannot view any reports unless the toggle for "View, edit or delete reports (content log, activity log, people log, reports etc.)" has been switched on in their system role settings, then they can view all quiz reports in their company

Note: Managers, Learners, and Reporters cannot view quiz reports, even if they are managers.

To view quiz reports:

  1. From the sidebar, navigate to Reporting → Quizzes

  2. Click either "Team", "Group" or "Manage quizzes"

  3. Click "view report" next to the quiz you'd like to view

  4. You can then view a report on individual responses to the quiz


Deleting Quiz Attempts

To delete quiz attempts and reset a learner's attempt count, you must have one of the following roles:

  • Owner – Full access within their company

  • Admin – Administrative access within their company

  • Learning Designer – Can delete quiz attempts within their company

Note: You must be in the same company as the learner whose attempt you want to delete. Curators, Managers, HR, and other roles cannot delete quiz attempts, even if they can view quiz reports.


Granting Additional Quiz Attempts

When the feature is enabled for your organisation, only Owner and Admin can grant learners extra quiz attempts beyond the configured limit. Learning Designers can delete attempts but cannot grant. See Granting additional quiz attempts for how to use this.


Quiz Question Bank Access

Quiz Question Banks allow you to build and manage reusable question repositories for use across multiple quizzes. Access to create, edit, and manage Question Banks is role-controlled:

  • Owner – Full access

  • Admin – Full access

  • Curator – Full access

  • Learning Designer – Access is granted via the "Create and manage quiz question banks" toggle, which an admin must enable per user. This toggle defaults to off.

When the toggle is enabled for a Learning Designer, the Settings → Assessments → Question Banks section becomes accessible to them.


High Importance Content Restrictions

Quizzes can be flagged as High Importance Content by Admins. When this flag is enabled:

  • Standard edit permissions are overridden

  • Only users with High Importance Content modification rights can edit, archive, or delete the quiz

  • This prevents accidental changes to critical compliance or certification quizzes

If you have the correct role but cannot edit a quiz, it may be marked as High Importance Content. Contact your Admin for assistance.

💡 Tip: High Importance Content is particularly useful for compliance quizzes, certification assessments, or any quiz that must remain unchanged for regulatory or quality reasons.

FAQs

Q: Why can't I edit a quiz I created?
The quiz may be marked as High Importance Content. Contact your Admin to check or request permission to modify high importance content.

Q: Can Managers view quiz reports for their team?
No. Managers can view quiz submissions for their team members, but not full reports. Reports require Admin, Owner, Learning Designer, or HR (with override) permissions.

Q: Can I grant edit permissions to someone who doesn't have a content creation role?
Yes. You can add users to the "Who can edit?" field when creating or editing a quiz, regardless of their system role.

Q: Why did our Learning Designers lose access to Quiz Question Banks?
From 2026-04-28, Question Bank access for Learning Designers requires the "Create and manage quiz question banks" toggle to be explicitly enabled. Admins should enable this toggle for any Learning Designers who need it. See Roles for instructions.
