Using "Locked Until Tasked" Settings
Overview
The "Locked until tasked" setting provides an additional layer of access control for your content. When enabled, users cannot access the content—even if they find it through search—until it has been explicitly assigned to them as a Task.
This is particularly useful for compliance training, certification programmes, or any content where you need to ensure controlled, tracked access.

How "Locked Until Tasked" Works
When you enable "Locked until tasked" on a Learnlist or Channel:
The content becomes invisible to users who haven't been assigned it
Users cannot access it through search results
Direct links to the content will show an access restriction message
Only after the content is assigned as a Task does it become accessible

Enabling "Locked Until Tasked" on a Learnlist
From the sidebar, select Manage → Learnlists
Find your Learnlist and click to edit, or create a new one
Look for the Access or Visibility settings section
Enable the Locked until tasked toggle
Save your changes
The Learnlist will now only be accessible to users who have been assigned it as a Task.
Enabling "Locked Until Tasked" on a Channel
From the sidebar, select Manage → Channels
Find your Channel and click to edit, or create a new one
Look for the Structure settings section
Select Locked until tasked from the structure options
Save your changes
All content within the Channel will now be inaccessible until the Channel is assigned.
Assigning Locked Content
Navigate to the locked Learnlist or Channel
Click Add Task or the Task button
Select the users, Teams, or Groups to assign
Set a deadline
Configure notifications
Save the Task
Once assigned, users will be able to access the content and it will appear in their To Do areas.
💡 Tip: For Channels, once a user completes all items in a locked-until-tasked Channel, they retain access. The lock only prevents initial access—it doesn't hide completed content.
FAQs
Q: Can I use "Locked until tasked" for individual Items?
No. This setting is only available for Learnlists and Channels. For individual Items, use the "Only visible when assigned" visibility setting instead.
Q: If a Channel is locked, can users access Items inside it that have "Everyone" visibility?
No. When a Channel is locked until tasked, all content within it is inaccessible regardless of individual visibility settings. The Channel-level lock takes precedence.
Q: What happens if I unlock content that was previously locked?
Users will be able to access the content according to its visibility settings. Any existing Tasks remain in place, but the content becomes accessible to others based on visibility.
Q: Can managers or Admins see locked content?
Yes. Users with Admin, Owner, Learning Designer, or Curator roles can still view and manage locked content. The lock only applies to standard learners.
Q: How do I know if content is locked?
When editing the content, check the Structure or Access settings for the "Locked until tasked" option. In content listings, locked content may display a padlock indicator.
Q: What's the difference between "Locked" and "Locked until tasked" structure on Channels?
Locked: Items must be completed in sequential order, but users can access the Channel if it's visible to them
