Setting Up Notifications for Exercise Submissions
Overview
Exercise submission notifications help you stay up to date when learners complete and submit exercises. This ensures you can review responses promptly and keep learning progress on track.
Learn Amp offers three distinct notification types for exercises, allowing you to configure different notifications for submissions, completions, and failures.
Functionality Breakdown
Notifications can be configured directly within an exercise's settings. You can choose:
Who should be notified — managers, coaches, selected individuals, or manager's manager
When notifications are sent — on submission, on completion, or on failure
Separate notification settings — different recipients for different notification types
These notifications support timely review and faster feedback loops, ensuring learners receive appropriate support based on their performance.
Pre-requisites
You must have permission to edit exercises in your Learn Amp instance
The exercise must already exist in the Manage → Learning Content → Exercises area
Required User Roles
Users with the following roles can configure exercise notifications:
Owner – Full access within their company
Admin – Administrative access within their company
Learning Designer – Can create and manage learning content
Curator – Can curate and manage content
Quick Start Guide
Navigate to Manage → Learning Content → Exercises in the sidebar navigation
Open the exercise you want to update
Select the three dots (⋯) and click Edit exercise
Go to Step 7: Completion Settings
Under Set up notifications, configure your notification preferences:
Notify when exercise is submitted — Tick this to notify recipients when a learner submits their work
Notify when exercise is completed — Tick this to notify recipients when an exercise is marked as completed (passed)
Notify when exercise is failed — Tick this to notify recipients when an exercise submission fails (scores below pass threshold)
Choose who should be notified for each notification type:
Managers
Coaches
Selected individuals
Manager's manager
Click Submit to save your changes
Tip: Use separate notifications for completed vs failed to ensure appropriate follow-up for learners who need additional support.
Notification Types Explained
Notify When Exercise is Submitted
This notification is sent immediately when a learner submits their exercise, regardless of whether it has been scored or not.
Use cases:
Alert reviewers that a new submission needs attention
Notify managers when their team members submit work
Keep subject matter experts informed of new submissions
Note: This notification triggers for every submission, including resubmissions if the learner has multiple attempts.
Notify When Exercise is Completed
This notification is sent when an exercise is marked as completed, typically when:
The submission passes (meets or exceeds pass score)
An assessor marks it as passed
The completion type is set to "Any Submission" and the learner submits
Use cases:
Celebrate learner achievements
Track completion rates
Update learning records
Note: This notification only triggers when the exercise is successfully completed, not when it fails.
Notify When Exercise is Failed
This notification is sent when an exercise submission fails, typically when:
The score is below the pass threshold
An assessor marks it as failed
The completion type is "Pass Score" and the learner doesn't meet the threshold
Use cases:
Alert managers when team members need additional support
Notify coaches of learners who may need guidance
Track learners who require intervention
Note: This notification only triggers for failed submissions. With unlimited attempts enabled, submissions may not show as "Failed" even if they score below the pass mark.
FAQs
Q: Can multiple people receive notifications?
A: Yes — you can select multiple recipients depending on your organisation's permissions and configuration. You can choose managers, coaches, selected individuals, or manager's manager for each notification type.
Q: Do notifications trigger for resubmissions?
A: Yes, if "Notify when exercise is submitted" is enabled, notifications will trigger for every submission, including resubmissions.
Q: Will learners also receive notifications?
A: No — these notifications apply only to those responsible for reviewing submissions. Learners receive their own notifications when their submissions are scored.
Q: Can managers receive notifications for exercises?
A: Yes, but only for exercises they are allowed to sign off. This is controlled in the assessment settings of the exercise (sign-off options).
Q: When can managers assess an exercise and receive notifications?
A: If the exercise is set to "Scored", "Pass/Fail", or "Scoring Assessment", you can enable manager sign-off. When enabled, the exercise appears in their list and they will receive notifications if configured.
Q: Can managers receive notifications for exercises set to "No Assessment"?
A: No. Exercises with "No Assessment" cannot be assigned to managers, so they will not see them or receive notifications.
Q: What's the difference between "Notify Completed" and "Notify Failed"?
A: "Notify Completed" sends notifications when a submission passes or is marked complete. "Notify Failed" sends notifications specifically when a submission fails (scores below pass threshold). This helps ensure appropriate follow-up for learners who need support.
Q: Can I set different recipients for different notification types?
A: Yes. You can configure different recipients for "Notify Submitted", "Notify Completed", and "Notify Failed" to ensure the right people are informed at the right time.
Troubleshooting
Issue | Solution |
|---|---|
I can't see the notification options | Ensure you have permission to edit exercises. Check with your Admin if unsure. Navigate to Manage → Learning Content → Exercises in the sidebar navigation to verify access. |
The wrong person is receiving notifications | Review the configuration under Set up notifications in Step 7 and update the recipients as needed. Check that the correct notification type is enabled. |
Notifications are not being sent | Check email delivery settings with your Admin. Confirm that recipients have valid email addresses and notification settings enabled in their user profiles. |
Managers not receiving notifications | Verify that manager sign-off is enabled in the exercise's sign-off options. Managers can only receive notifications for exercises they can sign off. |
"Notify Failed" not triggering | Check if unlimited attempts are enabled. With unlimited attempts, submissions may not show as "Failed" even if they score below the pass mark. |
Notifications triggering too frequently | Review your notification settings. "Notify Submitted" triggers for every submission, including resubmissions. Consider using "Notify Completed" or "Notify Failed" instead if you only want notifications for final outcomes. |
