This is a guide to the initial setup for your Hibob integration. This can only be done by the Hibob Admin.

Creating a Service User

Once you have logged in to your Hibob account here. You will be met with your home page. Navigate to the settings at the bottom left-hand corner.

You will be directed to your Hibob settings - at the lower left-hand menu, there is an integrations field select this.

This is where we will establish Learn Amp as a Service User. To create a service user select ‘manage' under the service user tile and select ‘create new service user’

When creating a new service user you will have to give them a name, we recommend 'Learn Amp' so it is recognisable. Once this has been done successfully you will be a Service ID and a Service Token. (This will need to be added to your Learn Amp Account later)

You can now select ‘done’ and navigate back to the settings page.

Setting Permissions

You should now go to the account tab and select permission groups.

You will then see all your current permission groups - You can add a service user (Learn Amp) to an existing permission group, however, we recommend that you create a new permission group exclusive to Learn Amp.

** NEW PROCEDURE **

Existing group

If you have created your group before you should still perform step 2 below, simply by editing the existing group to make sure that it has the correct permissions.

You should now be prompted to create a group - group name and description are mandatory.

Under the Group members tab toggle ‘Select people by condition’ and click ‘Select People’

 

Here is where we add Learn Amp as a Service User, under service users toggle on the recently created service user (Learn Amp) and hit ‘Apply’

2. Setting Access rights

You should now have been taken to the page below (or if you’re not redirected then go to System setting → Account → Permission Groups → Click on the group → People’s data)

Choose ‘Select people by condition’

Click ‘Edit’

and then in the pop-up set:

Lifecycle status → Equals → Choose all the options

When selecting ‘Everyone’ we have detected that in certain circumstances Hibob will filter out some users depending on their condition.

But ultimately, if you really don’t want users with a certain condition/status to have any access, like terminated users, then remove the option from the Lifecycle status.

This is what it should look like:

Then:

  1. Go to the group tab

  2. On the "Search Permission" input, type "View selected employees' Lifecycle sections"

  3. Click it, and you will be taken to the checkbox, and the checkbox will be highlighted

  4. Check the option: "View selected employees' Lifecycle sections"

  5. Click "Save"

Once these properties have been set you can hit ‘Apply’ and then ‘Save’ on the permission group settings.


Refreshing the Token

Navigate back to the ‘Service Users’ tab under integrations in settings and select ‘refresh tokens’.

Now you have received the new token info.

Once you have copied the Service User ID and Token you need to paste this into your Learn Amp integration on the integration page
