Learn how to make the most of dynamic Tasks.
We're excited to introduce you to dynamic Tasks! While we've had dynamic Exercises, Surveys, and 1-to-1s in the system for a while now, we're pleased to say that you'll now be able to manage the setting and automation of Tasks more easily than ever.
What is a dynamic Task? What's new?
Previously, you were only able to set or schedule Tasks for people who were already part of a team, group, or company.
For example - previously:
If you wanted to set a mandatory piece of financial training to the Finance Team, you'd be able set it for people who were a member of that team at the time you set the Task.
But, if new joiners were added to the team a month later, they wouldn't automatically be tasked the mandatory training, and you'd have to manually set the Task again.
However, with dynamic Tasks:
You now have the option to automatically schedule Tasks to be set for new joiners - whether they're joining a team, group, or the company - without having to manually go back and set the same Task!
In essence, the scheduling and setting of Tasks is now easy and automated - and helpful in ensuring that no piece of training (mandatory or otherwise) is forgotten!
How do I create a Task?
Step 1: In the top navigation bar, select the + icon, and add a Task.
Step 2: Choose the Task you'd like your learners to complete.
Assigning the Task - what are the different options?
You can assign a Task to individuals, teams, groups, and the whole company.
For teams, groups, and company, you'll have the option to set the Task for new joiners. Let's take a look at what that means.
What happens if I assign it to....
Current and new members:
Any current members to either the Company/Team/Group will have the task assigned
Any new members that fit the criteria for the Company/Team/Group will then be assigned the task once they accept their invite to the platform.
If set with an immediate deadline this will only take effect on current members tasks.
New users will have a dynamic deadline.
This option may be ideal if you’d like to set a compliance task that all members including new ones will need to complete.
Current members only:
This task will only assign to current members in the Company/Team/Group
If you select this option then any new members need this task assigned then you will need to assign a separate task
You may want to use this option if you’d like to set a task for current members that new joiners may not need to complete.
New members only:
This task will only assign to new members in the Company/Team/Group who have joined after the task has been created.
If you select this option then any current members will NOT have this task assigned to them.
You may find this option handy if you’d like to set tasks for any new joiners to the platform.
Step 3: Select the task options -
Here you can select whichever check boxes suit the requirements for the task.
Please bear in mind if you do not check the option - 'If learner has completed this task, require them to complete it again' - then any users who have previously completed this content (at the time of issuing) will have the first new task automatically marked as complete.
Checking this box will not affect the recurrence of this task.
Step 4: Set the dates -
Here you can select when you want the task to be set from and if you’d like it to be set on a certain future date.
Repeats - Here you can set recurrence rules for what the deadline will be for future tasks how often you’d like the task to assign to users or if you’d like it on a set date. So if you set this for the 30th September this will be the deadline for the future task
These settings will only affect current users at the time of assigning the task.
How does the complete by date work with a recurring task?
When setting the task with a complete by date this will only affect the first occurrence of the task for current users. Any future occurrences will have the same due date set for the future
