Overview

Tasks are how you assign learning content to users with deadlines, tracking, and accountability. They act as a structured "to-do" layer over your learning content—ensuring users complete key activities like Items, Quizzes, Learnlists, or Surveys.

Whether you're rolling out compliance training, onboarding new starters, or reinforcing role-specific skills, Tasks help you manage assignments at scale whilst keeping learners focused on what matters most.

Quick Start Guide

Creating Your First Task

  1. Click Add in the sidebar

  2. Select Task

  3. Choose the content you want to assign (Item, Learnlist, Quiz, Survey, or Event)

  4. Select who to assign it to (Individual, Team, Group, or Company)

  5. Set the deadline and any advanced options

  6. Click Save Task

Viewing Tasks

As an Admin or Manager:

  1. Click Reporting in the sidebar

  2. Select Tasks

  3. Use the tabs to switch between My Tasks, Manage Tasks, and Parent Tasks

As a Learner:

  1. Click My Learning in the sidebar

  2. Select My Tasks


Recurring Tasks

Recurring tasks allow you to set tasks that automatically repeat on a schedule, ensuring learners stay up to date with regular training and compliance requirements.

Recurrence Types

When creating a recurring task, you have two recurrence options:

  1. Fixed rule — Tasks will repeat on the same date for all users (e.g., a GDPR compliance task due every 31st December). All users assigned to the task will have the same deadline for each occurrence.

  2. Dynamic (last content completion date) (Beta) — The next occurrence will be due based on when an employee last completed the task. This provides more flexibility in scheduling recurring tasks, ensuring that each user's timeline is personalised and learners are always up to date with regular compliance training.

    The dynamic recurrence feature allows tasks to repeat based on each user's last completion date, rather than a fixed calendar deadline. This means if a user completes a task early, their next deadline will be calculated from their completion date, not from a fixed calendar date.


Dashboard Widgets

Tasks can be displayed on dashboards using built-in widgets to help learners stay on top of their assignments.

Upcoming Tasks Widget

Displays a focused list of tasks for the logged-in user:

  • Shows tasks ordered by deadline

  • Mandatory tasks are prioritised

  • Configurable time range (e.g., "due within 7 days")

  • Option to hide overdue tasks from the widget

To-Do List Widget

A combined widget that shows:

  • Assigned tasks

  • Upcoming events (if enabled)

  • Assigned surveys (if enabled)

  • One-to-ones (if enabled)

Both widgets can be added to any dashboard by an Admin via Dashboard Settings > Add Widget.

💡 Tip: Encourage learners to add the Upcoming Tasks widget to their personal dashboard for easy access to their assignments.


Integrations

Certificates

When a user completes a task, they can automatically receive a certificate if:

  • The assigned content (Item, Learnlist, Quiz) has auto-assign certificate enabled

  • Your organisation has the Certificates feature enabled

Certificates are awarded based on content completion, not the task itself. See the Custom Certificates documentation for more details.

Escalation Policies

Escalation Policies can be configured to notify managers when learners are consistently overdue on tasks. This helps maintain accountability for compliance training and other mandatory assignments.

Slack Integration

If your organisation has the Slack integration enabled, task notifications can be sent directly to users via Slack DM. This includes new task assignments and reminders.

Microsoft Teams Integration

If your organisation has Microsoft Teams configured, task notifications can be posted to team channels when tasks are assigned to teams.

Degreed Integration

If your organisation uses Degreed, tasks can sync as "Required Learning" in Degreed. When you assign a task in Learn Amp, it automatically creates a corresponding required learning entry in Degreed for the user.

API Access

Tasks can be managed programmatically via the Learn Amp API. This enables:

  • Creating tasks from external systems

  • Retrieving task data with filters (by user, deadline, status, etc.)

  • Syncing task data with your HRIS or LMS

  • Building custom integrations and automations

Available API operations:

  • Get all tasks (with pagination and filtering)

  • Get individual task details

  • Create tasks for users

FAQs

Q: What's the difference between a Task and the content itself?
The content (Item, Quiz, Learnlist) is what the learner completes. A Task is how you assign that content with a deadline, tracking, and notifications.

Q: Can tasks be assigned automatically to new team members?
Yes. When creating a task for a team, group, or company, you can choose to assign it to "Current and New Members" or "New Members Only".

Q: What happens if someone has already completed the content?
By default, the task will auto-complete. You can override this by selecting "Require completing again" when creating the task.

Q: Can I set tasks to repeat regularly?
Yes. Tasks can recur on a fixed schedule (e.g., every 12 months) or dynamically based on each user's last completion date. See the Recurring Tasks section above for more details.

Q: How do I know if tasks are overdue?
The Task Log shows overdue tasks with a warning indicator. You can also filter to show only overdue tasks.

Q: Can I change a Task to mandatory after it has been created?
No. You'll need to delete the task and re-assign it with the mandatory setting. Setting a task to mandatory adds a label to the task and marks it as mandatory in the email notification.

Q: What does setting a task as Mandatory do?
It adds an icon to the task preview for users and gives the task a Mandatory status in the notification email. It's used to distinguish between mandatory and optional tasks—it does not enforce any other action on the platform.

Q: How can I extend the date range of an Assigned task?
Currently, there isn't an option to extend the deadline of a task in the platform. You'll need to delete the task and reissue it. This won't lose the user's progress unless you select "Require completing again".

Q: Can I see future dated tasks?
Yes. In the Task Log, go to Company, change the deadline date range to "Future", and tick "show scheduled". You'll now see tasks dated in the future.

Q: Can I re-instate tasks for archived content?
No. When you un-archive content, only the activity log is reinstated—tasks cannot be re-instated.

Q: What happens if I delete an individual level task?
The task will no longer show in the Task Log or the user's profile. However, any activity data for the content can still be found in the Activity Log.

Q: After deleting a Company Task, it still shows as an individual Task for all users. Why?
When deleting, you may have selected the option to stop new tasks from being issued but not delete existing ones. Company/Team/Group tasks give you the option to either stop future instances or remove both future and past tasks.

Q: How can I see all scheduled Tasks?
In the Task Log, go to Company, change the deadline date range to "Future", tick "show scheduled", and you'll see all scheduled tasks. You can also filter by title to narrow down results.

Q: Why isn't my Tasked Channel showing on my To-do list?
Channels assigned as Tasks don't show on the To-do list. Instead, they display on the "Assigned Channels" widget, which can be added to the Dashboard via "Add Widget" > "Assigned Channels".

Q: Can I change the thumbnail on Tasks?
There's no option to edit task tiles directly. The task tile uses the Learnlist's set tile image. To change it, you'll need to update the tile image for the Learnlist itself.

Q: Is it possible to delete Tasks based on Location?
No. You can only delete a Task for all users it was set up for, or delete individual tasks for each user.

Q: What happens to a task if the tasked Learnlist is set to Dynamic and content is added?
The completion for the task will remain the same, but the completion for the Learnlist itself will no longer show as complete. This is because task completion and content completion are tracked separately.

Q: If a user has completed items before they were added to a Learnlist and then tasked, would the Learnlist show as complete?
Yes—as long as the admin hasn't ticked "Require completing again". In this case, the user won't be sent a Task notification either.

Q: User has the same content assigned multiple times and it's affecting completion. What's happening?
This can occur when a user is in multiple Groups/Teams with overlapping task assignments. If a later task was set with "Require completing again", it will reset completion. Consider reviewing why the user was issued the same content multiple times, or use the "Mark as complete" functionality.

Q: Can I edit a current Task to select 'require learners to complete again'?
No. This option can only be edited for recurring Tasks. Tasks that have already been assigned cannot have this option changed. Best practice is to reissue the task if needed.

Q: How do I stop any future Tasks via a Group and limit to only current members?
From the Manage Tasks view, click the three dots next to the Group Task and select "Delete Group task". Choose the option to delete only future and scheduled tasks—this stops new tasks while preserving existing ones.

Q: Do users get certificates when they complete tasks?
Certificates are awarded based on content completion, not the task itself. If the assigned content has "auto-assign certificate" enabled, users will receive a certificate when they complete the content (which also completes the task).

Q: Can I manage tasks via API?
Yes. The Learn Amp API supports task management. See the API documentation at developers.learnamp.com for details.

Q: Can I import multiple tasks at once?
Yes. Use the Bulk Import feature to create multiple tasks from a CSV file. See the Bulk Import of Tasks article for details.

Q: How can I mark content as complete for a user?
Navigate to the content (Item or Quiz), click the three-dot menu, and select "Mark as complete for...". This creates a completion record and will complete any associated open tasks. See the Managing Tasks article for details.

Q: Can learners control their task notification emails?
Yes. Learners can manage their email preferences via Settings > Notifications > Emails. They can toggle task set, task reminder, and task recurrence notifications. See Task Notifications Overview for details.

Q: Can I move tasks from one content to another?
Yes. Task re-mapping allows you to transfer tasks from old content to new versions. This is performed by the Learn Amp team—contact Support to request a re-mapping.
