Creating a Task - Advanced Settings

Learn about the Advanced Settings you can implement when creating a Task.

This article will explain the Advanced Settings that can be added when creating a Task.

There are four different features:

  • Making a Task mandatory.

  • Requiring a learner to complete the Task again.

  • Setting a Task to recur. 

  • Setting notifications.

 

All of these features will be dealt with in this article.

 

How do you add a Task with Advanced Settings?

Step 1: Create Task

  • Select the + icon in the top bar.

  • Select 'Add task'.

Making a Task mandatory

What does it mean to set a Task as mandatory?

  • In a user's 'My Tasks' section, by default the order of tasks occurs by date. If a user has an overdue Task then that will show first.

  • The exception to this is the mandatory Task.

  • Any tasks set as mandatory will show first.

  • In a user's Task List, a small exclamation mark will show that the item assigned is mandatory (i.e. in the example below, 'Viral marketing'). 

Advice: We recommend that you use the 'mandatory' feature sparingly, so that when you do use it, it has greater impact. If you are going to set a Task as mandatory, we recommend that under the 'Notify the following...' section, you make sure a manager or coach can keep track of whether a Task has or hasn't been completed.

 

Requiring a learner to complete a completed Task again

  • This will require that a learner completes the Task again, even if they have already completed it once.

  • This setting is checked by default

 

Example usage:

  • This could be used in instances of compliance training.

  • Perhaps employees have completed compliance training once, and this feature will help you keep a log of that.

  • However, compliance training needs to be refreshed every year, so this acts as a reminder that learners will need to redo this training again, even if they have completed it once.

 

Setting a Task to recur

  • You can set a Task to recur automatically at specified intervals.

 

Example usage:

  • If you have a piece of compliance training, perhaps it is company policy for employees to undertake this training every single year as a refresher.

  • You can set this training task to recur automatically for employees.

 

Notifying recipients

Specifying recipients:

  • You can choose to notify certain individuals with information about the Task.

  • You can choose to notify a person's manager or coach.

  • You can choose to notify specific individuals who are users with the role of Admin or HR

Choosing under what circumstances people are notified:

  • This feature allows managers and coaches, amongst others, to keep track of whether learners are carrying out their Tasks or not.

  • Notifications can be sent out when a Task has been completed or when it is marked as overdue.

 

Why might you need these settings?

Applying these Advanced Settings are a great way to achieve a number of different aims:

  • Compliance training: If you have mandatory compliance training that your employees must complete, then you can use these Advanced Settings to make these Tasks compulsory. All mandatory Tasks will show up as such in the Task log too.

  • Regular training at intervals: Setting a Task to recur will ensure that important Tasks are not forgotten and it will save admins having to think whether set Tasks automatically recur. Â
