Task Log: Manage Tasks

The Task Log provides a central workspace for viewing, filtering, and managing tasks across your organisation. It supports both individual task tracking and organisation-wide oversight, offering flexibility and clarity for users in various roles.


Accessing the Task Log

The Task Log can be accessed by clicking the “Reporting” menu option and selecting the "Tasks" tile, or by clicking the “My Learning” menu option and selecting “My Tasks”.

Three tabs are available:

  • My Tasks: Displays tasks assigned directly to the logged-in user.

  • Manage Tasks: Displays tasks assigned across the organisation, based on user permissions and roles.

  • Parent Tasks: A dedicated space to view and manage all training rules set up in your organisation. Read more here about the Parent Tasks tab.

Access to the Manage Tasks and Parent Tasks views depends on a user's role. For example, users with Manager permissions can view tasks assigned to individuals they manage.


Task Log Layout and Filtering

Manage Tasks Table

Each individual task appears as a single row within a structured table. Key details such as task title, status, deadline are visible at a glance. The "Set For" column indicates how the task was assigned—whether to an individual, team, group, or company-wide.

Filter Tiles

At the top of the Manage Tasks page, users can apply quick filters by selecting one or more filter tiles. These tiles help narrow the view based on task status:

  • Completed: Displays all tasks marked as completed.

  • In Progress: Displays tasks that have been started but are not yet completed or overdue.

  • Overdue: Displays incomplete tasks where the deadline date is in the past.

  • Incomplete: Displays tasks that have not been started and are not overdue.

Multiple tiles can be selected simultaneously to create combined filter views. Note the statuses are mutually exclusive, so there is no overlapping between tiles.

 

Managing Views with Filters

Quick Filters

In the Manage Tasks view, additional filters are available to tailor your results:

  • Segment Filter: Allows selection of specific cohorts of users to view tasks assigned to them, regardless of how the task was set.

  • Scheduled Tasks:

    • No: Hides tasks that are scheduled but not yet issued.

    • Yes: Shows only scheduled tasks.

    • All: Shows both scheduled and issued tasks.

  • Deadline Filter: Includes options for specific timeframes, including an All Time setting for comprehensive views.

  • Advanced Filters: Enables custom filtering through compound queries for more refined control over the visible task list.

Segment Filter

The Segment Filter allows users to filter the Task Log based on defined cohorts within the organisation. It provides a flexible way to view tasks assigned to users within specific roles, teams, or groups—regardless of how those tasks were originally assigned.

When applying the Segment Filter, the table will display all tasks assigned to the selected users, independently from whether the tasks were set for them individually, by team, by group, or company-wide. This makes it a powerful tool for understanding a user's total task assignment load across assignment methods.

Available Segment Options:

  • Everyone: Shows all tasks assigned to all users across the organisation.

  • Managed Users: Shows tasks assigned to users directly managed by the current user through override management. This option is only visible to users with override manager permissions.

  • Coached Users: Shows tasks assigned to all users managed by the current user, based on system-defined management relationships. This option is only visible to users with coaching permissions.

  • Team: Allows selection of one or more specific teams. Tasks assigned to any members of the selected teams will be shown.

  • Group: Allows selection of one or more specific groups. Tasks assigned to any members of the selected groups will be shown.

Important Behaviour

Using the Segment Filter will surface all tasks assigned to the selected users, no matter how those tasks were originally assigned. For example, selecting a team will show:

  • Tasks assigned directly to team members as individuals

  • Tasks assigned to their team

  • Tasks assigned to their group (if relevant)

  • Tasks assigned company-wide

This provides a holistic view of user task load, ideal for managers or administrators who need visibility across roles and assignment methods.

For More Specific Filtering

To narrow results based on how tasks were originally assigned—rather than which users received them—you can use the Advanced Filters section. These filters help distinguish between task assignment methods (who the task was set for) and allow more precise control over the data shown.

Key Filter Options:

  • Tasked For
    This high-level filter lets you display tasks based on the assignment type, regardless of which specific teams or groups were involved. Available values:

    • Individual – shows tasks set for individuals (any user)

    • Team – shows tasks set for any team

    • Group – shows tasks set for any group

    • Company – shows tasks assigned company-wide

    This is useful for identifying the method of task assignment without specifying particular teams or groups.

  • Set For Team
    Enables targeted filtering by specific teams. Use this to include or exclude tasks based on the actual team name or membership. Available filter conditions:

    • Equals / Does Not Equal

    • Contains / Does Not Contain

    Example: You could filter to only show tasks set for the "Sales Team" using "Set For Team → Equals → Sales Team".

  • Set For Group
    Works similarly to "Set For Team", allowing task filtering by specific groups. Supports the same conditions:

    • Equals / Does Not Equal

    • Contains / Does Not Contain

    Example: To view tasks targeted at a specific training cohort, you might use "Set For Group → Contains → Onboarding Group".

These filters are especially useful when you need to understand the intent behind task assignment, rather than just viewing everything assigned to users in a group or team.

 


Action Bar Controls

The action bar at the top of the Task Log provides interactive controls to manage and export data:

  • Task Count: Displays the number of tasks matching the current filters.

  • Batch Actions (available to Admins and Owners):

    • Delete

    • Set as mandatory

    • Change “Set by” person

    • Set new deadline

    • Change notification settings

  • Save Report: Stores the current filtered view for easy access later.

  • Export CSV: Downloads the visible task data in CSV format.

  • Add Task: Opens the task creation window


Editing and Deleting Tasks

Tasks can be edited or deleted using the context menu located in each task row. This menu is represented by a three-dot (ellipsis) icon.

  • For individual tasks: select Edit or Delete directly from the menu.

  • For tasks assigned to teams, groups, or company-wide: locate a related task row and open the menu. Options will appear to Edit or Delete the broader assignment (e.g., "Edit Group Task").

A guided dialog will assist in completing the edit or deletion process.


Mobile Accessibility

The Task Log is fully responsive and optimised for mobile devices. Users can view, filter, and manage tasks on smartphones or tablets with the same functionality available on desktop, ensuring task visibility and management on the go.

There are two ways of doing so:

  1. (Recommended) Go to “Parent Tasks” tab, and use the advanced filters to identify the Task that needs editing or deletion. Click on the “three-pips” icon to uncover the menu options “Edit task” or “Delete task”

  2. In Manage tasks tab, locate an individual task that has spawned from the parent task you want to edit or delete. Click on the “three-pips” icon, and select the “Edit [Group/Team/Company] Task” or “Delete [Group/Team/Company] Task” options. If you don’t see these options, it means the task doesn’t have a parent task attached to it.

Currently, only Admins and Owners can change the deadline of an individual task.
To change deadline on an individual task, go to Manage tasks → select one or more tasks from the table by ticking the checkbox on the relevant rows, then go to “Batch Actions” → “Set new deadline” and input the updated deadline.

Please note this will update the deadline date for all selected tasks and you will lose any data on who was previously overdue.

This change will not be recorded in audit log, so please keep track of it outside the system if needed.

The change of deadline will trigger a new email to the task assignees, informing them that the deadline has now changed.

Currently it is not possible to change the deadline of a parent task from the UI. Please delete and re-issue the task if deadlines need to change.
