Using Labels with Groups

Using Labels with Groups

Overview

Labels in Learn Amp allow you to tag users with custom identifiers, making it easier to find, filter, and segment them. When combined with Groups, Labels become a powerful tool for creating dynamic user segments based on custom criteria.

This article explains how to use Labels with Groups to create targeted user segments.

Functionality Breakdown

Labels work as custom tags that you can apply to users. Unlike system fields (like role or team), Labels are completely flexible—you define what they mean and how to use them.

What Labels Enable

  • Find users quickly: Filter the user list by Label to locate specific people

  • Create reports: Generate reports filtered by Label to track specific cohorts

  • Build Groups: Use Labels as filter criteria to create dynamic Groups

  • Apply interventions: Target content or tasks to users with specific Labels

  • Permission to edit user details (to apply Labels)

Quick Start Guide

Adding Labels to Users

Method 1: Individual User

  1. Navigate to the user's profile page

  2. Click the three dots (⋯) next to the user's avatar

  3. Select Edit details

  4. Scroll to the More about [user] section

  5. Add your Labels in the Labels field

  6. Save changes

Method 2: Bulk Import

  1. Go to your avatar → Company settingsImportsUsers import
Or: Click +PeopleMany users (bulk importer)

  2. Download the template CSV

  3. Add Labels for each user in the Labels column

  4. Upload the completed CSV

Method 3: Integration

If you have an HR integration configured, Labels can be synced automatically from your HR system.

Creating a Group Using Labels

  1. Click + in the top navigation → Under People, select Group

  2. Give your Group a name (e.g., "Compliance Watchlist")

  3. Click Add filter group

  4. Select Label as the filter type

  5. Choose equals or contains

  6. Enter or select the Label value (e.g., "Overdue")

  7. Click Apply filters to preview matching users

  8. Click Save

The Group will now include all users with that Label and update automatically as Labels are added or removed.

Common Use Cases

1. Compliance Watchlist

Create a Group for users who repeatedly miss compliance deadlines:

  • Label: "Compliance Watchlist"

  • Action: Assign additional training or policy reminders to this Group

2. Mentors and Buddies

Identify users who can support new starters:

  • Label: "Mentor" or "Buddy"

  • Action: Use this Group when setting up buddy programmes or peer learning

3. Project Teams

Create temporary Groups for cross-functional projects:

  • Label: "Project Alpha Team"

  • Action: Assign project-specific content and track completion

4. Performance Segments

Segment users for targeted development:

  • Labels: "High Performer", "Emerging Talent", "Needs Support"

  • Action: Assign appropriate development content to each segment

Searching for Users by Label

To find users with specific Labels:

  1. In the top navigation, click PeopleIndividuals

  2. Click Filters

  3. Select Labels

  4. Type or select the Label(s) you want to filter by

  5. The user list updates to show only matching users

You can combine Label filters with other filters (team, role, etc.) for more precise results.

FAQs

Q: Can a user have multiple Labels?
Yes! Users can have any number of Labels. This is useful for overlapping categorisations (e.g., a user could be both "Mentor" and "High Performer").

Q: Are Labels case-sensitive?
Labels are generally not case-sensitive when filtering, but it's good practice to use consistent capitalisation for clarity.

Q: Can I rename a Label?
Labels aren't centrally managed—they're text values on individual users. To "rename" a Label, you'd need to update it on each affected user, either manually or via bulk import.

Q: Is it possible to delete labels once they have been created?
Labels cannot be deleted through the standard UI. Please contact Learn Amp Support to have labels deleted.

Q: Can I see all Labels in use?
Currently, there's no central Label management view. You can see Labels when filtering users or editing individual user profiles.

Q: Do Labels sync with HR integrations?
Yes, if your integration is configured to include Labels. Check with your administrator or the integration documentation for your specific HR system.

Troubleshooting

Issue

Solution

Issue

Solution

Label not appearing in Group filter

Ensure the Label has been applied to at least one user. Check for typos in the Label name.

Group not finding users with Label

Verify the Label value matches exactly (including spacing). Try using "contains" instead of "equals".

Labels not importing via CSV

Check the CSV format—Labels should be comma-separated if adding multiple. Review the import template.

Can't add Labels to users

Verify you have permission to edit user details. Contact your administrator if needed.
