What different settings does 1-to-1s offer

This article describes the difference between various options available when using 1-to-1s.

This includes:

  • One-off vs Cycle

  • 1-to-1 Template vs 1-to-1

  • Assigned to an Individual vs Team vs Company

  • Saved as Draft vs Finalised

  • Reviewee vs Reviewer

  • Private vs Public notes

One-off vs Cycle

 

One-off

  • Issues one-time 1-to-1 form.

  • If the 1-to-1 Template is re-issued, it will not carry through any information from the previous One-off.

  • This 1-to-1 is best used when regular feedback isn’t required: when the user is being managed only temporarily, or as an off-boarding conversation starter.

Cycle

  • Creates a recurring 1-to-1 assignment.

  • 1-to-1 form will be re-issued within a specified time and users will be expected to fill it in again.

  • Answers and Agenda points will carry through from previously filled 1-to-1s.

  • Best for regular check-ins, weekly, monthly, quarterly, and others.

 

1-to-1 Template vs 1-to-1

 

1-to-1 Template

  • Creates a template that can be used multiple times.

  • It will be accessible to all Admins, the creator, and individuals specified in the setup.

  • Provides the structure and layout for future issued 1-to-1s

  • If it’s deleted or archived, 1-to-1s can no longer be issued based on that Template

1-to-1

  • An instance of the 1-to-1 Template issued to the user

  • It’s accessible to the Reviewee, Reviewer, and Admins

  • Each time a 1-to-1 Template is re-issued, it creates a 1-to-1 for the user to fill in

  • If this 1-to-1 is deleted or archived, only this one instance is affected. If part of the Cycle, a new 1-to-1 will be issued accordingly despite deleting the singular 1-to-1.

Assigned to an Individual vs Team vs Company

Individual - pick particular users by writing their name in the search bar, only those users will be issued a 1-to-1.

Team - choose groups of users by Team name. When new users within the Team are added - this 1-to-1 will become available to them.

Company - this 1-to-1 will be assigned/created for all the users within the system.

 

Saved as Draft vs Finalised

 

Saved as Draft

  • When the user enters their answers to the 1-to-1, they have an option to save draft, but not publish the changes.

  • The answers will then not be visible to the Reviewer.

  • Saving answers as a draft will not trigger 1-to-1 completion: notifications and date of submission. Users will be able to view their answers and edit or publish them.

  • It’s preferred when the users want to partially fill in the form without notifying their manager.

Finalised

  • Finalising the 1-to-1 is possible once all answers have been submitted.

  • Once finalised, the 1-to-1 will show as Completed in the 1-to-1 Dashboard, and reporting.

  • It will make the answers visible to the reviewer and manager (depending on visibility settings).

  • This option allows tracking any overdue 1-to-1 and signing off any points raised through the form.

 

Reviewee vs Reviewer

Reviewee

  • It’s the user being issued a 1-to-1

  • It will give them access to the 1-to-1 and request them to fill in their answers

  • Users will receive notifications about 1-to-1 being issued and the deadline. They will be able to access the 1-to-1 on the Asses Tab>1-to-1 Dashboard>My 1-to-1s

Reviewer

  • Direct manager or override manager of the reviewee.

  • It will give them access to the reviewee’s 1-to-1 and their answers in the time they were their manager.

  • Can add their own comments and finalise the 1-to-1.

  • Will receive notifications about 1-to-1 being issued and the deadlines missed by the Reviewee. They will be able to access their 1-to-1 on the Asses Tab>1-to-1 Dashboard>Managed users

 

Private vs Public notes

Private Notes

  • Free text box within the 1-to-1 Template, where users can leave notes for themselves.

  • They will not be visible to other users apart from the creator: Reviewer and Admins.

  • It’s preferred when the information is confidential or a note to oneself.

Public Notes

  • Free text box within the 1-to-1 Template, where users can leave notes for themselves and other users.

  • They will be visible to other users other than the creator: Reviewee, Reviewer, and Admins.

  • It’s preferred when there’s a need to exchange additional information or make note of something both parties are involved with.
