What are 1-to-1s and how to use them?
1-to-1s are a channel of regular feedback. They allow your managers to keep track of their team’s tasks, prepare a meeting agenda, get an insight into the team’s mood and provide a way for them to raise any issues or answer regular surveys.
What is a 1-to-1?
A form that you can issue regularly to individuals or groups
A place where you can track answers to question sets, objectives, content completion, tasks, quizzes, exercises, and surveys on a regular basis
If the 1-to-1 is assigned as a cycle, these will carry through the next 1-to-1 and will allow tracking progress on each
It can be viewed by the user it was issued to, their manager, and admins
The 1-to-1 feature gives users an option to report on their tasks, notify their manager about any challenges and provide feedback
You can access the 1-to-1s dashboard by clicking on Assess Tab > 1-to-1s.
How do I create a 1-to-1?
To successfully issue a 1-to-1 you will need to first create a question set. These are templates containing standard questions used in your 1-to-1 form. Click here to learn how to create question sets.
Once you’ve created a question set, you can create a 1-to-1 Template. This template will contain all settings around visibility, question set, and other activity data used.
The last step will be to assign the cycle - deciding who the 1-to-1 is issued to and how often it will be re-issued.
To create a 1-to-1 template, go to the top navigation bar > select the + icon > 1-to-1 > Template.
It will open a 1-to-1 creator.
Step 1: Template details
Start by adding:
Name
Description
Tile image
In + Permissions add users who can edit the template (besides the creator)
Step 2: Add questions
Add an existing question set to your 1-to-1 form.
If you don’t have a question set, you can add it within this form:
Step 3: Activity data
Decide which other activity will be visible in the 1-to-1 form: past question sets, objectives, content completion, tasks, quizzes, exercises, and surveys
Step 4: Preview
Review how the 1-to-1 form will display
Switch between Reviewee and Reviewer view
Step 4: Done
Click Done to successfully create the template
How to issue a 1-to-1 and set up a cycle
Once you’ve created a 1-to-1 template, you can issue it as a one-off or create a recurring event, that will re-issue the same template regularly.
To issue a 1-to-1, go to the top navigation bar > select the + icon > 1-to-1 > Review cycle.
It will open a 1-to-1 Review cycle creator.
Step 1: 1-to-1 Template
Start by choosing the template you’ve created by using the search box or adding a new template.
Step 2: Recipients
Decide whether this 1-to-1 will be sent to picked Individuals, specific Teams, or to the whole Company
Individual - pick particular users by writing their name in the search bar
Team - choose groups of users by Team name. When new users within the Team are added - this 1-to-1 will become available to them
Company - this 1-to-1 will be assigned/created for all the users within the system.
Once the 1-to-1 is issued, it will only be possible to remove users as recipients, if they have been added as Individuals
Step 3: Issuing
Issuing the 1-to-1
Decide if this 1-to-1 will only be issued once as a One-off or set it to reoccur as a Cycle
If you pick One-off, the answers and Agenda points will not carry through if the 1-to-1 is re-issued manually.
If you pick Cycle, the answers and Agenda points will carry through and the 1-to-1 will re-issue within the specified time.
First issue date
Decide if this 1-to-1 will be issued Immediately upon the completion of the creator or set date for it to be issued in the future
Deadline
For One-off - pick a date for when the 1-to-1 has to be finalised
Ticking Managers and direct reports to fill in at different times will allow you to set different deadlines for the Reviewee and the Reviewer.
For Cycle - clicking on any date within the calendar will activate the following options:
Repeats - decide the frequency of re-issuing
Assign 1-to-1 - decide how much time before the deadline the new 1-to-1 is issued
Choose if the cycle will Carry forward Action Points - if ticket, the action points filled in the previous 1-to-1 will appear on the next re-issued 1-to-1s.
Step 4: Review
See who this 1-to-1 will be issued to
When it will be issued
How many times it will be issued and how often re-issued
Step 5: Done
Click Done to successfully issue the 1-to-1
