Understanding Assigned Content

Understanding Assigned Content

Overview

In Learn Amp, "assigned" content refers to learning that has been given to a user with an expectation of completion—typically with a deadline. Understanding the difference between visible and assigned content is essential for effective content management and accurate reporting.

This guide explains what assignment means, how it works across different content types, and how it affects reporting.

Functionality Breakdown

What Does "Assigned" Mean?

Assigned content is learning that has been explicitly given to a user, usually with a deadline. The method of assignment varies by content type:

Content Type

Items

Learnlists

Channels

Set as a Task, OR made visible (Channels treat visibility as assignment)

Events

⚠️ Important: Channels behave differently. When a Channel is visible to a user, it's automatically considered "assigned" in reporting—even without being set as a Task.

How Assignment Works Hierarchically

Assignment cascades down through content containers:

Example 1: Assigned Learnlist

  • A Learnlist contains 5 Items

  • User is assigned the Learnlist as a Task

  • Result: User is assigned 1 Learnlist + 5 Items = 6 pieces of assigned content

Example 2: Assigned Channel

  • A Channel contains 2 Learnlists, each with 5 Items

  • User is assigned the Channel as a Task

  • Result: User is assigned 1 Channel + 2 Learnlists + 10 Items = 13 pieces of assigned content

This hierarchical assignment ensures all nested content is properly tracked for completion.

Pre-requisites

Before assigning content, ensure you have:

  • Access to the content you want to assign

  • Knowledge of the users, Teams, or Groups who should receive the content

Quick Start Guide

Assigning Content as a Task

  1. Navigate to the content you want to assign (Channel, Learnlist, or Item)

  2. Click the Task button or select Add Task from the menu

  3. Choose who to assign:

    • Specific individuals

    • Teams

    • Groups

  4. Set a deadline for completion

  5. Configure notification settings

  6. Click Save to create the Task

Where Assigned Content Appears for Learners

Assigned content appears prominently to help learners prioritise their work:

  • Upcoming Tasks widget on the homepage

  • Assigned Channels widget

  • Upcoming Events widget

  • My Learning section filtered by "Assigned"

💡 Tip: Tasked Channels appear in the "Assigned Channels" area and disappear once all Items are completed. Visible Channels remain on the homepage even after completion.

FAQs

Q: Why do visible Channels show as "assigned" in reports?
This is by design. Learn Amp considers any visible Channel as assigned because visibility implies an expectation that users will engage with that content. This ensures Channels are properly tracked in completion reporting.

Q: If I just want content to be available without tracking, what should I do?
For Items and Learnlists, set visibility to "Everyone" without creating Tasks. The content will be accessible but won't appear as assigned in reports. For Channels, you cannot avoid assignment tracking—any visible Channel is considered assigned.

Q: Does assignment affect the order content appears to users?
Yes. Assigned content (Tasks) typically appears prominently in the To Do areas, making it more visible than merely visible content that users must search for.

Q: Can a user be assigned the same content multiple times?
If content is inside multiple Channels or Learnlists that are all assigned, the user will have multiple assignment records. Completion is tracked separately for each assignment context.

Q: What happens to Tasks when content expires?
Users cannot access expired content even if they have incomplete Tasks for it. Consider adjusting Task deadlines or removing Tasks before content expires.

Troubleshooting

Issue

Solution

Issue

Solution

Content shows as assigned but user didn't receive a Task

For Channels, check if the Channel is visible to the user—visible Channels count as assigned.

Assignment not appearing in user's To Do

Verify the Task was created successfully and the deadline hasn't passed. Check the user is in the assigned group.

Nested content not showing as assigned

Ensure the parent Channel or Learnlist is properly assigned. Assignment should cascade automatically.

Completion not tracking correctly

Confirm the content type supports completion tracking and that the user has genuinely completed all required elements.
