Visibility settings in Learn Amp control who can see and access your content. Whether you're managing Channels, Learnlists, Items, or Events, understanding visibility is essential for delivering the right learning to the right people at the right time.

This section covers how visibility works across different content types, the relationship between "visible" and "assigned" content, and how to manage content lifecycle through archiving and deletion.

How Visibility Differs by Content Type

  • Items and Learnlists: Use the three standard visibility settings above

  • Channels: Have "Dashboard visibility" which controls whether the Channel appears on users' homepages

  • Events: Visibility is managed through session enrolment rather than visibility settings

Visibility vs Assignment

A key distinction in Learn Amp:

  • Visible content can be seen and accessed by users

  • Assigned content has a deadline or expectation of completion

For Channels specifically, any content that is visible is also considered "assigned" in reporting. This is different from Items and Learnlists, where visibility and assignment are separate concepts.

FAQs

Q: What's the difference between "visible" and "assigned" content?
Visible content can be seen by users but doesn't have a completion deadline. Assigned content has been set as a Task with a deadline. For Channels, any visible Channel is also considered "assigned" in reporting.

Q: If I change a Channel's visibility from 'Selected' to 'Everyone', will users get a notification?
No. Changing visibility alone doesn't trigger notifications. Users only receive notifications when content is set as a Task for them.

Q: Will archived Channels still appear in reporting?
Yes. Archived Channels remain in reporting (including Content CSV exports) because the data hasn't been deleted—it's simply hidden from active use.

Q: What happens to content I set to expire?
Expired content becomes inaccessible to learners (except Admins) after the expiration date. Users cannot access it even if they have incomplete Tasks for it.

Q: Can I retrieve deleted content?
No. Deletion is permanent and cannot be undone. If you need to hide content temporarily, use Archive instead.

Q: How do I create a Channel that disappears after completion?
Set the Channel as a Task rather than making it visible. Tasked Channels appear in the "Assigned Channels" widget and disappear once all Items are completed. Visible Channels remain on the homepage even after completion.

Q: What's the best visibility setting for a new Learnlist containing existing Items?
It depends on your goal. Use "Hidden" while building it, "Only visible when assigned" for targeted rollouts, or "Everyone" for optional learning available to all.

Q: Can I adjust the visibility of third-party content?
This depends on the content provider's settings and your licensing agreement. Some third-party content may have fixed visibility restrictions.

Q: How should I update Learnlists to avoid sending unintended notifications?
Keep the Learnlist set to "Hidden" while making changes. Only change visibility to "Everyone" or assign as a Task once the content is finalised and you're ready for learners to access it.

Q: The content I changed to "Hidden" is still showing up. How do I fix this?
Check if the content is part of a Channel or Learnlist that's still visible. Content inherits visibility from its parent containers. Also verify you saved the visibility change and refresh the page.

Q: Can I use the 'Locked until tasked' option for Learnlists?
Yes. When enabled, learners cannot access the Learnlist until it has been assigned to them as a Task, even if they find it through search.

Q: Can users access content inside a Channel with 'Locked until tasked' enabled?
No. If the Channel is locked until tasked, users cannot access any content within it until the Channel has been assigned to them, regardless of the individual Items' visibility settings.

Check parent Channels or Learnlists—content inherits visibility from containers. Ensure changes were saved.

Verify the content isn't archived or expired. Check if it's inside a hidden Channel or Learnlist.

Archived content appearing in reports

This is expected behaviour. Archived content is hidden from users but preserved for historical reporting.

Can't change visibility settings

Confirm you have the required role (Owner, Admin, Learning Designer, or Curator).

Channel not appearing on user homepage

Check Dashboard visibility settings specifically. The Channel may be visible but not set to appear on dashboards.
